About the Role
Provide high-quality executive and administrative support to the Managing Director, Transaction Banking, ensuring the smooth and efficient running of the executive function. This role requires a proactive, highly organised professional who can manage competing priorities, exercise sound judgement, and operate with discretion across a complex stakeholder environment spanning multiple regions and time zones.
Responsibilities
- Manage complex diaries, coordinating meetings, appointments, and stakeholder engagements.
- Prepare detailed weekly travel itineraries, balancing competing priorities and optimising executive time.
- Manage end-to-end domestic and international travel, including flights, accommodation, transfers, visas, and documentation.
- Oversee financial administration and forecasting, including monitoring team budgets and tracking expenditure.
- Process invoices and expenses accurately and in line with company policies.
- Manage resource allocation, monitoring employee and contractor headcount and maintaining accurate records.
- Coordinate governance forums, leadership meetings, and committees, including agenda distribution and action tracking.
- Act as a liaison between the Executive, senior leaders, and internal/external stakeholders, ensuring professional communication.
- Prepare presentations, correspondence, reports, and briefing papers for executive decision-making.
- Provide proactive business support, identifying process improvements and anticipating business needs.
Requirements
- Experience in an Executive Assistant role supporting senior executives (GM/MD level or equivalent).
- Exposure to C-suite stakeholders and highly complex executive environments.
- Demonstrated experience supporting senior leaders for extended periods with a track record of stability and progression.
- Experience within financial services or a closely related industry is highly regarded.
- Outstanding organisational and time management skills with the ability to manage competing priorities.
- Strong written and verbal communication skills, including the ability to prepare high-quality presentations and executive-level documentation.
- High proficiency in Microsoft Office 365 (Outlook, Teams, PowerPoint, Word, Excel).
- Demonstrated ability to exercise sound judgement, anticipate business needs, and work autonomously.
- Proven experience beyond basic EA tasks, with a proactive approach to supporting business outcomes.
- High level of professionalism, discretion, and confidentiality.
- Experience coordinating international travel and multi-timezone scheduling.
