About the Role

The Document Control Administrator provides essential administrative support to the office and leadership team, ensuring the efficient operation of office functions and documentation systems. This role is key to maintaining organized, current, and accessible information, supporting effective communication between office staff, field teams, and leadership.

Responsibilities

  • Maintain and promote a strong safety culture, following all safety policies, procedures, and regulations.
  • Provide administrative support to the Director and leadership team, ensuring efficient day-to-day office operations.
  • Oversee general office administration, including correspondence, filing systems, records management, and time submissions.
  • Manage document control processes, including setting up, maintaining, and improving electronic and hard-copy filing systems.
  • Receive, track, organize, and maintain internal and external documentation, ensuring accuracy, accessibility, and proper version control.
  • Act as the central point of contact for internal documentation and office communication.
  • Coordinate office schedules, meetings, travel, and administrative logistics.
  • Support financial administrative processes, including expense tracking and time submissions.
  • Coordinate onboarding and offboarding activities, including document setup and maintaining employee records.
  • Maintain office supplies, office environment, equipment, and vendor relationships.
  • Assist in the preparation and formatting of reports, presentations, and documentation.
  • Identify opportunities to improve administrative and document control processes.
  • Liaise with vendors, service providers, and internal stakeholders.
  • Perform other duties as assigned by the Director or leadership team.

Requirements

  • High school diploma or GED required.
  • 3-5+ years of office and/or construction administration or related experience.
  • Experience with document control and managing construction project documentation is preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to manage multiple projects and competing priorities in a fast-paced environment.
  • Strong customer service and interpersonal skills.
  • Ability to work independently with minimal supervision as well as collaboratively within a team environment.
