About the Role

New Alternatives for Children, Inc. (NAC) is seeking a Senior Administrative Assistant to support the Executive Director and Development Department. This role is central in coordinating communication, acting as a liaison between departments, vendors, funders, and the Board of Directors, and gaining insight into the agency's work, communication, and fundraising efforts.

Responsibilities

  • Schedule and manage the Executive Director's meetings with staff, donors, and the Board of Directors, including calendar invitations and Zoom links.
  • Reserve meeting rooms and enter participants in Angus.
  • Maintain clear, concise, and efficient communication with all stakeholders.
  • Draft and edit Executive Director's correspondence.
  • Oversee mailing and filing of correspondence.
  • Maintain physical and electronic filing system for the Executive Director's and the Board's correspondence.
  • Schedule and manage Board and committee meetings with calendar invitations and Zoom.
  • Prepare for Board and committee meetings by drafting agendas, managing meeting content, organizing, and distributing all meeting materials.
  • Attend Board and committee meetings to record minutes.
  • Maintain Board directory, committee assignments, Board matrix, and all Board corporate forms.
  • Maintain and archive current and past Board records, demonstrating initiative with document revisions and follow-up.
  • Ensure all institutional corporate and Board documents are updated annually or as needed and maintained in accordance with best practices.
  • Coordinate Junior Board activity.
  • Maintain confidentiality of the Executive Office.
  • Perform additional projects and responsibilities as needed.

Requirements

  • Minimum of two years of administrative support experience and/or not-for-profit administration.
  • Bachelor's degree required.

Skills

  • Strong written and oral communication skills
  • Strong organizational and project management skills
  • Attention to detail
  • Proficient in Microsoft Office Suite
  • Experience with Raiser's Edge helpful
  • Knowledge of social services field experience helpful
