About the Role

Old Queen Street Media is seeking an Events & Production Coordinator to plan, organize, and deliver events across historic Westminster venues. This role involves managing events from initial inquiry to final invoice, coordinating with internal teams, and handling practical production and set-up.

Responsibilities

  • Plan and deliver events, managing them from initial inquiry and planning through to set-up, on-the-day delivery, and follow-up.
  • Coordinate production, organizing practical requirements including room layouts, furniture, AV, suppliers, deliveries, timings, and guest requirements.
  • Set up events on site and off site, taking a hands-on role in preparing spaces before guests arrive.
  • Coordinate across teams, working closely with food & beverage, production, editorial, and commercial colleagues.
  • Manage clients and suppliers, liaising with a range of individuals and representing Old Queen Street professionally.
  • Keep events on track by managing budgets, bookings, invoices, and event administration.
  • Be hands-on on event days, troubleshooting issues, managing suppliers and contractors, and ensuring smooth event execution.

Requirements

  • Strong background in event planning, coordination, or production with proven organizational skills.
  • Strong administration skills with excellent attention to detail and the ability to track multiple bookings, deadlines, budgets, and event requirements.
  • Comfortable balancing multiple projects, clients, and deadlines simultaneously.
  • Practical, adaptable, and resourceful, with the ability to solve problems quickly and calmly.
  • Willing to be hands-on and involved in the physical set-up and delivery of events.
  • Confident communicator who builds good relationships with clients, guests, colleagues, and suppliers.
  • Comfortable working occasional evenings or weekends when events require it, with time off in lieu provided.
  • Motivated by variety and responsibility, and happiest when making things happen.
