About the Role

The front desk associate is the initial contact person for patients, responsible for greeting, scheduling, data entry, and maintaining the front desk area. This role requires excellent customer service, medical assistant background, and multitasking abilities.

Responsibilities

  • Greets, welcomes and directs incoming patients and visitors.
  • Maintains a neat work area and ensures smooth patient flow.
  • Answers the phone professionally and politely.
  • Collects and verifies patient demographic and insurance information.
  • Notifies clinical staff of patients’ arrivals.
  • Responds to inquiries from patients, visitors, and staff courteously.
  • Protects patient confidentiality and complies with HIPAA guidelines.
  • Schedules patient appointments and informs them of costs.
  • Collects and posts fees, prepares daily batches for the Billing Department.
  • Maintains front desk forms and office supplies.
  • Ensures the front desk area is ready for each workday.
  • Accurately inputs patient information into the computer.
  • Demonstrates a responsible attitude and cooperates with co-workers.
  • Maintains regular and predictable attendance.
  • Adheres to APC policies and procedures.
  • Performs other duties as assigned.

Requirements

  • Requires a high school diploma or GED.
  • Previous office administration work experience.
  • Medical Assistant experience preferred.
  • Knowledge of medical terminology and basic computer skills preferred.
  • Strong verbal and written communication skills.
  • Ability to work with people, including those dealing with an illness or in pain.
  • Skilled in handling incoming phone calls and operating office equipment.
  • Skilled in handling paperwork adequately.
  • Knowledge of medical terminology and insurance practices.
  • Knowledge of basic arithmetic for calculations and reconciliation.
  • Ability to organize and prioritize tasks effectively.
  • Ability to respond flexibly to changing demands and maintain professionalism.
  • Must be able to work scheduled hours (typically 8:00 AM - 5:00 PM, Monday-Friday).
  • Must be able to sit and/or stand for prolonged periods.
  • Must be able to bend, stoop, and stretch.
  • Must be able to lift and move items weighing up to 30 pounds.
  • Requires eye-hand coordination and manual dexterity for office equipment operation.
