About the Role
Manage the Parts Department to achieve satisfactory profit on dealer capital invested by implementing effective purchasing, inventory control, staff utilization, security, pricing, merchandising, displaying, and advertising strategies.
Responsibilities
- Forecast departmental goals and objectives and work daily to meet them.
- Hire, train, motivate, counsel, and monitor the performance of all department staff.
- Develop a training and succession plan for the department in conjunction with senior leadership.
- Prepare and administer an annual operating budget for the parts department.
- Analyze sales, expenses, and inventory monthly to maintain profit goals.
- Collaborate with senior management to accomplish assigned goals.
- Attend manager’s meetings.
- Maintain current knowledge of the industry and the dealership’s market area.
- Conduct monthly department meetings to communicate industry news, procedural changes, and new sales opportunities.
- Provide technical assistance to parts department employees.
- Monitor parts department employees' payroll records.
- Coordinate efficient and timely processing of paperwork.
- Monitor daily reports and sales productivity.
- Develop, enforce, and review customer processes to ensure complete satisfaction.
- Ensure the work area is kept clean and orderly.
- Enforce safety requirements, including forklift training, MSDS processing, and OSHA Right-to-Know compliance.
- Comply with all federal, state, and local regulations affecting parts sales.
- Maintain a professional appearance.
- Work hours consistent with proper management of all shifts and special circumstances.
- Maintain a balanced inventory to meet the needs of the service department, body shop, fleets, wholesale accounts, and retail customers.
- Establish and balance individual parts inventory levels for optimal turns according to company policies.
- Monitor and adjust inventory to manage obsolescence within company guidelines.
- Ensure returns are processed within vendor guidelines for maximum credit.
- Supervise stock order procedures and replenishment systems.
- Enforce a policy on special ordering of parts, ensuring stock orders constitute at least ninety percent (90%) of all orders.
- Collaborate with service and body shop managers to ensure timely turnaround of parts for internal jobs.
- Analyze and revise departmental operations and storage layout for maximum effectiveness.
- Direct shipping and receiving efforts for timely processing.
- Utilize the lost sales summary report.
- Ensure all parts department purchases are properly accounted for before payment.
- Establish pricing parameters for each customer category to generate sufficient gross profit and maintain customer loyalty.
- Ensure internal dealership customers receive the same high-quality service as external customers.
- Direct outside parts and counter sales efforts, including telemarketing, to maintain customer contact and increase sales.
- Conduct regular in-person customer visits.
- Develop sales promotions.
- Utilize manufacturers' inventory co-op advertising opportunities.
- Handle customer complaints immediately according to dealership guidelines.
- Assist in the collection of past-due accounts.
- Perform quarterly full inventory cycles, including dirty core inventory.
- Adhere to and promote all existing health and safety policies.
- Conduct training and presentations on health and safety matters and accident prevention.
- Inspect facilities, operations, equipment, and machinery for unsafe conditions and legal compliance.
- Investigate accidents or incidents to identify causes and recommend solutions or preventative measures.
Requirements
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
- Ability to apply concepts of basic algebra and geometry.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Valid Driver's License required.
- Must meet company insurability standards.
- Regularly required to stand and walk.
- Frequently required to reach with hands and arms.
- Occasionally required to stoop, kneel, crouch, or crawl.
- Regularly lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
