About the Role
The Royal College of Dental Surgeons of Ontario (RCDSO) is seeking a Program Administrator to oversee the administrative workflow for sedation authorizations and facility inspections. This role supports the development, implementation, and maintenance of related programs and services within the Facility Inspection Program (FIP) department.
Responsibilities
- Oversee the day-to-day operations of processing sedation authorizations and facility inspections.
- Ensure facilities are re-inspected on schedule and are in compliance with the Standard of Practice – Use of Sedation and General Anesthesia in Dental Practice.
- Bring potential concerns to the manager’s attention using a risk-based approach.
- Oversee the issuing of letters with the results of sedation provider reviews and facility inspections.
- Train and supervise administrative staff responsible for processing sedation applications, provider record reviews, and facility inspections.
- Develop and maintain administrative workflows and documentation of administrative processes, policies, and procedures.
- Maintain tracking systems, statistics, and reporting related to sedation authorizations and facility permits.
- Support IT systems improvements.
- Respond to complex telephone/email inquiries regarding FIP Department processes and requirements.
- Assume delegated authority to approve authorizations and facility permits in the manager’s absence.
- Oversee the CT program staff and sedation program staff in the manager’s absence.
- Oversee the annual sedation renewal process and workflows.
- Maintain department files, databases, and records.
- Assist with the recruitment and selection process of new direct-report staff.
- Perform other duties as assigned.
Requirements
- Completion of a two to three-year community college program.
- Three to five years of position-related experience.
- Excellent organizational skills and ability to prioritize assignments in a fast-paced environment.
- Excellent customer service and communication skills to effectively engage with internal and external stakeholders.
- Excellent analytical skills and critical thinking abilities.
- Ability to interpret, explain, and administer complex legislated requirements and by-laws.
- Excellent interpersonal skills, including a high level of diplomacy, patience, and tact.
- Extensive knowledge of Microsoft Office Suite and Adobe Acrobat.
- Adept at learning new technologies and implementing data-driven solutions.
- Experience in a legal or regulatory environment is an asset.
- Previous supervisory experience is an asset.
- Excellent French language proficiency is an asset.

- Base annual hiring salary from $78,148 to $87,916.50 (pro-rated for the duration of the secondment)
