About the Role

Maintain a presence on the front reception desk, offering assistance to all personnel and visitors. Sustain a professional outlook to deliver exceptional customer service and create a lasting impression.

Responsibilities

  • Ensure the highest standards in property presentation are maintained.
  • Keep the reception area clean, tidy, and welcoming.
  • Maintain a high standard of personal appearance and adhere to dress code guidelines.
  • Carry out duties in accordance with instructions from management.
  • Acknowledge and action helpdesk jobs, communicating them to the Engineering department when necessary.
  • Administer the visitor management system and manage new users for the occupier platform.
  • Participate in the training of cover staff.
  • Establish professional working relationships with team members, tenants, and contractors.
  • Greet visitors, maintain an accurate log of visitor records, and obtain tenant authority for visitors.
  • Assist and direct visitors to their required location or contact within the building.
  • Answer telephone and intercom system queries professionally.
  • Maintain an up-to-date reception operations manual.
  • Ensure the reception desk is never left unmanned during opening hours.
  • Deal with all on-site queries efficiently and professionally, directing them to third parties when appropriate.
  • Sign in deliveries for tenants, document them, and obtain tenant ID and signature for collection.
  • Acquire working knowledge of property systems and procedures to manage during absences.
  • Complete all required log reports.
  • Manage communications and updates to occupiers.
  • Assist in the event of an emergency.
  • Comply with and ensure landlord obligations for health and safety and fire precautions are met.
  • Ensure contractors adhere to site H&S requirements.
  • Abide by all company rules, terms, and conditions.

  • Pleasant telephone manner and efficiency in relaying messages and taking instructions.
  • Excellent communication skills.
  • Ability to deal with confidential information.

  • Careful and conscientious with an aptitude for attention to detail.
  • Willingness and ability to learn on the job.
  • Solid Corporate Customer Service Experience.
  • A bubbly, positive attitude, and a visible passion for customer services.
  • Proficient in full range of Microsoft applications inc. Word, Excel, PowerPoint, Outlook.
