About the Role

This role provides a specialist service to improve school attendance and punctuality, meeting college attendance targets. The core focus is to implement the College’s Attendance and Engagement Policy and improve the attendance of home-assessed and overseas students on visa. The successful candidate will record, monitor, evaluate, and report on attendance data, working within the Student Services team to identify and improve student attendance.

Responsibilities

  • Monitor and administer the UGIC Attendance inbox, responding to student enquiries and encouraging 100% attendance.
  • Liaise with the Welfare Officer regarding student attendance issues and welfare concerns.
  • Seek and receive student evidence to authorize absences and support appeals in collaboration with the Welfare Officer.
  • Maintain accurate records of student attendance evidence, finance situations, academic performance, and welfare updates.
  • Support Welfare and Finance Officers in student meetings related to attendance.
  • Create an efficient system for managing Stage 3 Attendance Warning meetings and appeals, including sending reminders.
  • Apply the University of Greenwich Attendance policy and ensure compliance.
  • Monitor the completion of tutor attendance registers and send reminders for non-compliance.
  • Inform students with low attendance about warnings (Stage 1, 2, & 3) via email, ensuring UGIC compliance.
  • Host weekly meetings with program coordinators, senior tutors, and the senior leadership team to discuss low attendance and agree on actions.
  • Ensure student status records (withdrawn, terminated, interrupted, etc.) are up-to-date and accessible for compliance.
  • Manually create and monitor weekly tutor and attendance registers until an Information System Software is implemented.
  • Upload the latest versions of attendance registers for staff viewing.
  • Create and update student lists with groups for each subject, including withdrawals.
  • Support tutors with queries regarding registers, attendance records, or student concerns, involving the Welfare Officer as needed.
  • Inform UGIC Admin colleagues about student attendance, welfare, finance, and records, ensuring access to necessary information.
  • Participate in new intake inductions.
  • Participate in the implementation of Bromcom, a student database.
  • Potentially deliver mini presentations to UGIC staff.

Requirements

  • Right to work in the UK.
  • Willingness to undertake appropriate safeguarding and pre-employment checks.
  • Understanding of issues affecting student attendance.
  • Knowledge of attendance regulations and targets.
  • Knowledge of school procedures.
  • Knowledge of UKVI student visa requirements for attendance.
  • Experience working with Bromcom or a similar data management system.
  • Administrative experience in educational environments.
  • Experience working with young people and adults from different cultural backgrounds.
