About the Role

UK-German Connection is a bilateral government initiative dedicated to supporting partnerships and exchanges, offering intercultural opportunities, and facilitating connections between schools, youth groups, and young people in the UK and Germany. This role focuses on delivering aspects of the UK-German Connection's offer, particularly funding for exchanges and partnership events, while working within the wider team to manage daily operations.

Responsibilities

  • Manage grant/bursary/programme applications and support applicants throughout their exchange lifecycle.
  • Support the development of school, youth, and FE partnerships.
  • Support mobility and scholarships, including summer courses and professional development.
  • Coordinate networks.
  • Run events and seminars.
  • Produce resources and materials.
  • Serve as the first point of contact for UK-German opportunities.
  • Support the lifecycle of programmes, projects, grants, networks, and events, ensuring timely and high-standard delivery.
  • Provide operational and logistical support, managing small-scale projects.
  • Co-facilitate project-related events and workshops.
  • Manage programme data, records, and finances, maintaining up-to-date systems.
  • Contribute to the evaluation of activity quality, reach, and impact for reporting and strategic reviews.
  • Stay updated on sector developments and policy updates, coordinating team updates and reports.
  • Support strong relationships with internal and external partners.
  • Provide information, advice, and guidance on opportunities, procedures, and engagement.
  • Offer pre-application guidance, including Q&A sessions.
  • Support the delivery of expert advisory schemes for bilateral partnerships.
  • Provide clear and comprehensive guidance to potential applicants and existing customers.
  • Consistently provide high-quality customer service, minimizing errors.
  • Align customer service activities with customer needs and circumstances.
  • Manage relationships with customers, grant beneficiaries, and participants to ensure fair access and maximize impact.
  • Acknowledge and process applications, reports, and correspondence within agreed timescales.
  • Ensure consistent messaging to applicants and participants through cross-functional work.
  • Manage customer enquiry mailboxes.
  • Actively support UK-German Connection communications, including outreach, materials, storytelling, and events.
  • Manage standard emails and enquiries.
  • Assess project activity and feedback for showcasing.
  • Contribute to the overall web presence and social media accounts, producing digital content.
  • Actively support digital engagement by young people.
  • Support the management of customer, partner, and stakeholder contacts.
  • Identify and champion areas for change or improvement, including service delivery blockages.
  • Support the embedding of continuous learning and improvement within the team.
  • Actively contribute to performance planning, management, and review processes.
  • Engage in continuous learning and professional development.
  • Support the delivery of operational plans for own work area.
  • Demonstrate professionalism and reflect client needs and perspectives in behaviors.
  • Understand the interdependence and connections with other functions and teams.

Requirements

  • Must have the pre-existing (permanent) legal right to work in the UK at the time of application.
  • Visa Sponsorship and relocation assistance are not provided.
  • Experience of schools and youth sectors.
  • Experience with Microsoft Office, particularly data entry in Excel and SharePoint.
  • Intercultural competence and awareness, especially regarding the UK and Germany.
  • Effective interpersonal and communication skills.
  • Strong customer service approach.
  • Aptitude and willingness to learn new skills.
  • Active interest in development and innovation.
  • Ability to work independently and cooperatively as a team member.
