About the Role

New York Institute of Technology's deSeversky Mansion seeks an Assistant Sales & Events Manager to support the sales department at our catering facility on the Long Island (Old Westbury) campus. This role is responsible for generating new revenue, overseeing events, and managing the Dining Room Manager.

Responsibilities

  • Works directly with the Sales and Operations Manager.
  • Generates new revenue, oversees events, and manages the Dining Room Manager (DRM).
  • Achieves revenue goals set forth by the Director of Dining Services.
  • Creates revenue reports and provides analysis to the Sales and Operations Manager.
  • Ensures all events are paid in full prior to commencement, adhering to contracted payment schedules.
  • Coordinates with clients for upcoming events, including New York Tech events, weddings, social, and corporate functions.
  • Generates revenue by coordinating with clients and enhancing events through add-ons.
  • Creates timely floor plans following standard operating procedures.
  • Schedules and attends client drop-offs of items for event day.
  • Greets clients and hosts on event day.
  • Manages all vendor relationships and develops new ones.
  • Creates and implements sales strategies to optimize business growth.
  • Proposes strategies and ideas to improve services and event quality.
  • Receives and expedites client inquiries.
  • Collaborates with NY Tech departments like Marketing and Communications to promote events.
  • Proactively handles issues during events and uses problem-solving skills to deescalate difficulties.
  • Communicates with service, housekeeping, or culinary teams regarding mansion setup, cleanliness, or food requirements.
  • Maintains relationships with past clients for future business using the Caterese database.
  • Tours prospective clients through the property, discusses event needs, and converts prospects to booked clients.
  • Generates, proposes, and reviews contracts and sample menus with potential clients, ensuring profit margins and revenue goals are met.
  • Manages and attends weekly Banquet Event Order (BEO) meetings with sales, culinary, and operations teams.
  • Communicates client updates or changes immediately to affected departments.
  • Manages the Dining Room and Operations Manager (DRM) daily.
  • Creates weekly schedules for the DRM and Housekeeper.
  • Reviews proposed schedules for the NYIT team and contract service team.
  • Supports and trains the DRM.
  • Performs other assigned tasks.

Requirements

  • Associate’s degree required.
  • 4 years’ experience within a catering environment as a Sales Coordinator or Event Specialist.
  • Advanced computer skills including word processing, spreadsheets, desktop publishing, and brand property management systems.
  • Excellent communication and listening skills.
  • Required to work weekends, nights, and/or holidays for sales tours and assisting with events.

Skills

  • Knowledge of Caterease Program, CVENT and Canva helpful.
