About the Role
The Academic Program Coordinator provides essential administrative support for the School of Civic Leadership's undergraduate academic programs. This role is crucial for maintaining academic records, managing deadlines, preparing communications, and supporting various academic processes including course scheduling, study abroad, internships, and assessments.
Responsibilities
- Collect and enter approved course, instructor, room, and scheduling information; maintain Class Manager, Course Schedule, and related trackers.
- Coordinate routine submissions for FaSET, final exams, final grades, catalog updates, room scheduling, and HB 2504 requirements.
- Maintain records, distribute approved updates, and flag missing or inconsistent information for review.
- Assist in the preparation of materials for program proposals, course scheduling, and student registration.
- Initiate submission for appropriate approvals for study abroad and internship programs.
- Maintain timelines, participant records, and routine communications for study abroad and internship programs.
- Coordinate approved recruitment information with advisors and communications staff.
- Maintain applications for internships, assist in the coordination of internship placements and enrollment.
- Regularly update employers, student, and placement records for internships.
- Partner with SCL Career success team to compile and communicate outcome data.
- Update program guides, forms, calendars, and participant records for honors theses.
- Track student and faculty deadlines for honors theses.
- Coordinate thesis and other related event logistics.
- Collect faculty and student feedback for program review.
- Collect, verify, and organize program data for assessments and recurring reports.
- Prepare draft summaries and maintain assessment files and submission records using established templates.
- Maintain policy resources and confidential appeal records.
- Confirm receipt of required materials and track reviews for academic policy and appeals.
- Prepare routine correspondence for academic policy and appeals.
- Refer policy interpretation and decisions to the appropriate administrator or committee.
Requirements
- Bachelor’s degree in a related field.
- Two years’ experience in a related position/field.
- Demonstrated experience working on projects with multiple stakeholders in a professional setting.
- Strong interpersonal skills including an interest in supporting student success.
- Strong organizational skills with ability to manage multiple projects and deadlines simultaneously.
- Excellent written and verbal communication skills, including experience preparing summaries, reports, and documentation.
- Familiarity with MS Office and Adobe.
- Relevant education and experience may be substituted as appropriate.
