About the Role

The Senior Administrative Coordinator provides high-level administrative support to the Vice President, Neurology CBU, and Sales and Marketing Leads, managing calendars, coordinating meetings, reconciling expenses, and arranging travel.

Responsibilities

  • Manage calendars for the VP, anticipating needs and resolving scheduling conflicts.
  • Arrange and coordinate heavy travel logistics for the VP, including conference registrations, itineraries, air, hotel, and ground transportation.
  • Plan and coordinate on and offsite meetings, including catering, rooming lists, audio visual requests, and team builders, while adhering to budgetary guidelines.
  • Coordinate meetings and events with external collaborators.
  • Demonstrate a working knowledge of company policies, procedures, and resources.
  • Implement and support administrative process improvements.
  • Act as a key point of contact for the department as the CBU administrative brand lead.
  • Conduct weekly or bi-weekly touchpoints with the VP and key stakeholders to review priorities and brand activities.
  • Process and submit purchase requisitions and enter information into the contract management system.
  • Reconcile expenses for the VP, offsite meetings, and department purchasing card.
  • Manage customized email distribution lists and update content on the department’s SharePoint site.
  • Proof, edit, and send email field communications on behalf of the VP and Marketing Lead.
  • Handle ad hoc administrative assignments such as ordering gifts.

Requirements

  • Highly collaborative with strong written and verbal communication skills.

  • Ability to understand departmental and/or leader priorities and adjust work accordingly.
  • Maintain a high level of accuracy and attention to detail.

  • Ability to work independently and collaborate with team members.

  • Proficient in MS Office, SharePoint, Concur, and teleconference systems.
  • Ability to assist with basic troubleshooting of systems.
