About the Role
This role involves administrative support for a Site Supervisor, focusing on record maintenance, scheduling, and data entry within a client services environment.
Responsibilities
- Maintain files of the Site Supervisor and distribute/route correspondence.
- Type memos, reports, and letters for the Site Supervisor, including weekly and monthly census reports.
- Schedule appointments, interviews, meetings, and case conferences.
- Order, distribute, and maintain inventory of office supplies.
- Maintain in-house census and perform data entry in the URS System.
- Record minutes of weekly staff meetings and prepare/distribute agendas.
- Maintain records of acceptance letters and Human Resources Administration/entitlement correspondence.
- Advise the billing unit of inactive cases and file documentation.
- Maintain client financial (WAM) records.
- Enter admission and discharge client information into URS, reviewing weekly for additional input.
- Maintain accurate information on boards regarding admissions and discharges.
- Review client forms (carfare, PA request, etc.) and forward information to appropriate designees.
- Make medical appointments for residents and supervise prescription fulfillment.
- Review client folders for lab work and other medical documentation.
- Maintain a urinalysis log and distribute urinalysis reports to Clinical Counselors.
Requirements
- Associate's degree in business studies or related area, or a certificate from an accredited business school and a minimum of one (1) year experience in a related field.
- High School graduate/GED equivalency and 3-5 years' experience in a related field.
- Good writing and organizational skills.
- Accurate typing speed of 55 wpm.
- Computer literate.
- Employment experience in a chemical dependency treatment program is preferred.
- Must possess sight, hearing, and digital senses or use prosthesis to enable essential job functions.
