About the Role

Vector Media is seeking an entrepreneurial, results-driven VP of Experiential Marketing to build, scale, and lead our experiential marketing department from the ground up. This foundational leadership role operates in a dynamic, "startup-feel" environment where you will integrate groundbreaking experiential strategies with our broader mobility marketing efforts. You will be fully responsible for the end-to-end activation lifecycle—translating client goals into impactful concepts, managing detailed design and vendor contracting, overseeing production logistics, and executing campaigns that elevate brand engagement and deliver exceptional value. This position requires a strategic builder with deep expertise in production logistics and cross-functional leadership to ensure all programs are delivered seamlessly, resources are optimized efficiently, and campaigns drive sustainable commercial success. This role will lead a high-performing experiential marketing team and is required to be in the office at least three days per week.

Responsibilities

  • Develop and champion a cutting-edge experiential marketing practice that aligns with client objectives and company growth goals, integrating seamlessly with our out-of-home and mobility marketing offerings.
  • Lead the development and execution of diverse experiential campaigns, from pop-ups and interactive installations to large-scale events and brand immersions.
  • Translate client briefs/RFP’s and marketing objectives into executable experiential plans that balance creativity with operational feasibility and financial discipline.
  • Oversee all project phases, creative development, budgeting, vendor selection/management, logistics permitting, production, and flawless on-site execution.
  • Maintain a solution-oriented approach to delivering complex programs within budgetary and contractual parameters.
  • Work closely with Sales, Operations, Creative, and Finance teams to align experiential programs with broader campaigns and business objectives.
  • Present activation plans, budgets, and post-project financials to clients and internal stakeholders.
  • Foster a shared commitment to delivering high-quality experiences within defined budget parameters.
  • Develop comprehensive budgets for all experiential activations, including materials, labor, logistics, vendor costs, and contingencies.
  • Oversee P&L for each program, ensuring alignment with margin targets and company financial objectives.
  • Proactively track costs, identify potential overages, and implement corrective actions to protect profitability.
  • Partner with Finance to reconcile project budgets, manage invoicing, and ensure timely closeout and reporting.
  • Establish processes to continuously improve budget forecasting accuracy and cost controls.
  • Identify, negotiate, and contract with production vendors, fabricators, staffing partners, and logistics providers.
  • Maintain preferred vendor relationships to leverage buying power, optimize pricing, and uphold quality standards.
  • Ensure all agreements are structured to protect the company’s financial and operational interests.
  • Oversee all production and activation phases, from permitting and fabrication through installation, live execution, and takedown.
  • Serve as the primary escalation point for operational and budget-related issues during execution.
  • Implement rigorous quality control and risk management processes to ensure flawless delivery and compliance.
  • Build, lead, and mentor a high-performing experiential activation team, instilling a culture of accountability, cost discipline, and operational excellence.
  • Develop team capabilities in budgeting, production management, and vendor negotiation.

Requirements

  • 10+ years of experience in experiential production, event operations, or related project management, with at least 5 years in a senior leadership role.
  • Experience working at a media company running experiential/events, experiential agencies, sports marketing agencies and fabricators
  • Proven track record of successfully conceiving, planning, and executing complex, high-impact experiential campaigns.
  • Deep familiarity with venues, regulations, vendor landscape, and consumer dynamics is essential.
  • Strong creative vision combined with a pragmatic understanding of production logistics and budget realities.
  • Proven track record of managing multiple concurrent programs, while managing large, complex budgets and driving profitability across multiple concurrent programs.
  • Deep understanding of experiential production workflows, permitting, and vendor ecosystems.
  • Strong negotiation and contract management skills.
  • Excellent organizational, problem-solving, and communication abilities.
  • Comfortable leading on-site activations, including occasional evenings or weekends as needed.
  • Proficiency with budgeting and project management tools (Excel, Smartsheet, Asana).
