About the Role

The Department of Elections is seeking a Junior Management Assistant to support the operations of the Campaign Services Unit. This 36-month limited-term project-based role will support election cycles, including the March 7, 2028 Presidential Primary Election and November 7, 2028 General Election. The position serves as a lead for public interaction, answers inquiries, assists with the phone bank, and provides operational and supervisory support during peak election periods.

Responsibilities

  • Serve as a lead regarding interaction with the public by answering telephone calls and responding to emails and other public inquiries.
  • Assist with the Department’s phone bank during early voting periods.
  • Provide operational and supervisory support during peak election periods.
  • Assist with election publications and public inquiries.
  • Facilitate public observation of election activities.
  • Support the hiring and supervision of temporary election clerks.
  • Assist in organizing and coordinating the intake of ballot initiative petitions and candidate filings.
  • Assist with the intake and review of ballot measure arguments for publication.
  • Review submitted documents for completeness and compliance with applicable election laws.
  • Respond to questions from candidates, campaigns, and the public regarding filing requirements and deadlines.
  • Assist in developing and updating Campaign Services publications.
  • Assist in ensuring publications comply with applicable laws and are issued according to statutory deadlines.
  • Assist the Custodian of Records with tasks related to the maintenance and disclosure of campaign and election records.
  • Assist in preparing responses to public records requests.
  • Ensure records are organized, maintained, and made available for public inspection.
  • Prepare reports and documentation related to public inquiries and records requests.
  • Assist in facilitating public observation of election processes.
  • Provide tours of Department operations, ensure compliance with observation rules, and respond to observer questions.
  • Assist with the hiring, training, scheduling, and supervision of temporary clerks.

Requirements

  • Possession of a baccalaureate degree from an accredited college or university.
  • Qualifying experience performing professional-level administrative duties in functional areas such as program/office/operations management, budget development and/or administration, or contract/grant administration may substitute for the required education on a year-for-year basis.
  • Must be available to work overtime during the week and on weekends as necessary.
  • Applications must be received by 5:00 p.m., October 8, 2026.

  • Assist with the training, supervision, and coordination of temporary staff during peak workload periods.
  • Use judgment and attention to detail when reviewing documents for accuracy, completeness, and legal compliance.
  • Work collaboratively with supervisors and colleagues across divisions.
