About the Role

The Deal Desk Manager is a critical member of the Sales Operations team, responsible for executing sales support activities that enable the Business Development organization to move faster and close more deals. This role demands excellence in project management, writing, and quality assurance, with a passion for enabling the BD team and delighting clients with professional, timely deliverables.

Responsibilities

  • Receive, review, and manage all incoming RFIs and questionnaires from prospective and existing clients
  • Develop clear, accurate, and persuasive written responses that position Gen II Fund Services' capabilities and differentiators
  • Coordinate with cross-functional stakeholders (Operations, Compliance, Finance) to ensure responses are accurate, compliant, and aligned with company standards
  • Ensure all submissions meet quality and deadline requirements; escalate issues to the Deal Desk Lead as needed
  • Draft, assemble, and finalize proposals, including services description, pricing, fees, and terms tailored to client needs
  • Develop and customize sales decks, executive summaries, and supporting collateral for presentations
  • Translate complex fund administration services into clear, client-facing language that resonates with prospects
  • Proactively suggest enhancements to materials based on market feedback and competitive intelligence
  • Support the development of pricing models and fee calculations based on fund size, complexity, and service scope
  • Analyze deal economics and identify pricing strategies to maximize revenue while remaining competitive
  • Collaborate with Finance and BD on pricing adjustments, discounts, and deal structures
  • Manage multiple concurrent deals across the sales cycle, ensuring all deliverables are on track and deadlines are met
  • Create and maintain deal timelines, checklists, and status dashboards to keep stakeholders informed
  • Serve as the central point of contact for deal logistics, coordinating between BD, Legal, Operations, and Compliance
  • Flag risks, dependencies, and blockers early; proactively problem-solve to keep deals moving
  • Perform detailed QA reviews on all client-facing materials: proposals, decks, responses, and contracts before submission
  • Maintain high standards for accuracy, compliance, branding consistency, and professional presentation
  • Document QA findings, track corrections, and ensure feedback is incorporated before delivery
  • Support the continuous improvement of Deal Desk templates, checklists, and best practices
  • Maintain accurate and complete deal records in Salesforce, including opportunity details, proposal status, and timeline information
  • Update deal status, competitive intelligence, and win/loss information to support pipeline visibility and forecasting
  • Ensure timely and organized documentation of all deal-related communications and materials
  • Contribute to building and maintaining the Deal Desk knowledge library: winning response templates, objection handling guides, competitive intelligence, and pricing precedents
  • Document lessons learned from closed deals and provide input to the Deal Desk Lead on content improvements
  • Support training and enablement activities for the broader BD team

Requirements

  • 5+ years in deal desk, sales operations, proposal management, bid management, or related sales support roles.
  • Proven track record of managing multiple concurrent RFIs, proposals, and sales cycle deliverables
  • Background in financial services, fund administration, or professional services strongly preferred
  • Experience with CRM systems (Salesforce preferred) and proposal management or document automation tools (Loopio, RFPIO, Responsive, or similar) is a significant plus
  • All applicants applying to Gen II Fund Services, LLC must be legally authorized to work in the United States.

Skills

  • Exceptional written communication skills with the ability to translate complex financial and operational concepts into clear, persuasive, client-ready language
  • Superior project management: comfortable juggling multiple moving pieces, strict deadlines, and competing priorities without losing attention to detail
  • Strong analytical and quantitative skills with the ability to build pricing models, analyze deal economics, and translate data into actionable insights

  • Collaborative and cross-functional: builds trust and works effectively with BD, Legal, Finance, Operations, and Compliance teams
  • Service-oriented mindset: energized by solving problems for the BD team and delighting internal and external clients with exceptional deliverables
  • Adaptable and coachable: comfortable receiving feedback and continuously improving processes and output
