About the Role
As the company’s paralegal, this person assists in protecting the company’s legal interests by organizing and analyzing data, drafting common legal instruments, and serving as a central liaison between the various departments and external entities. The position demands high-level discretion, deep knowledge of company policies, and the ability to process highly confidential information. The individual also manages the lifecycle of company, vendor, and client agreements.
Responsibilities
- Review contracts in accordance with the company contract review protocols.
- Identify financial liabilities, indemnification risks, and missing clauses in standard agreements.
- Partner with Department Heads and External Counsel to accelerate contract approvals.
- Conduct legal research as needed.
- Serve as primary point of contact for litigation related to Workers Comp, Auto and GLI claims.
- Establish Compliance Matrices to ensure client contract compliance.
- Maintain the secure contract database and monitor active agreements for renewal or expiration dates.
- Coordinate and process public records requests (FOIA), which involves gathering, organizing, and reviewing records for necessary legal redactions.
- Handle all company FOIA requests to other entities.
- Assist with administrative charges, gather evidence, draft basic correspondence, and organize witness or exhibit files for hearings.
- Meticulously maintain the office’s digital document management systems, tracking litigation deadlines and updates.
- Monitor and ensure compliance with all state and local licensing and permit requirements.
- Draft, review and redline a range of agreements, including NDA’s, offer letters, vendor and service agreements and consulting agreements.
- Coordinate with outside counsel on litigation, union grievances including gathering documents and information as requested.
- Perform other job-related duties as assigned by management.
Requirements
- Experience in high volume, high-stakes administrative support, contract management and legal liaison.
- Minimum of three years of active, operational experience in a law firm or corporate setting.
- Certified experience managing highly confidential employee or legal files with zero security breaches.
- Familiarity with basic employment law concepts (i.e. at-will employment, leave laws, I-9 compliance).
- Excellent writing, proofreading and organizational skills with strong attention to detail.
- Background supporting a growing company where the role wears multiple hats.
