About the Role

The Communications and Correspondence Coordinator provides operational and logistical support to the Corporate Communications team. Reporting to the Manager, Communications and Special Projects, this role contributes to the efficient management of the team's key processes, including handling public correspondence, coordinating workflows, and supporting the planning and implementation of internal and external communication plans.

Responsibilities

  • Monitor, prioritize, and track requests to ensure timely responses that meet established service standards.
  • Coordinate response preparation in collaboration with the Communications Advisor and relevant subject matter experts.
  • Maintain correspondence records, databases, and tracking tools to monitor request volume, trends, and response times.
  • Participate in producing reports and dashboards on public engagement activities and correspondence metrics.
  • Support the implementation of communication plans related to public engagement, stakeholder mobilization, and project updates.
  • Contribute to continuous improvement initiatives aimed at optimizing public experience and correspondence management processes.
  • Assist in preparing documents, performing administrative tasks, and providing logistical coordination for internal and external communication initiatives.
  • Support the Corporate Communications team in coordinating, tracking, and organizing communication activities.

Requirements

  • Bachelor's degree in communications, public relations, administration, or a related field.
  • 1 to 3 years of relevant professional experience in a similar role with responsibilities in coordination, communication, or stakeholder relations management.
  • Excellent organizational skills to manage tight editorial deadlines and event schedules simultaneously.
  • Good writing, editing, and proofreading skills.
  • High attention to detail, strong organizational skills, and the ability to manage multiple files concurrently.
  • Ability to manage multiple priorities and deadlines in a dynamic environment.
  • Good judgment, professionalism, and a customer service-oriented approach.
  • Ability to convey complex information in clear, simple, and accessible language.
  • Initiative, resourcefulness, and the ability to adapt quickly to unforeseen situations.
  • Excellent interpersonal skills and a strong aptitude for teamwork.
  • Bilingual in French and English, both spoken and written.
