About the Role
Performs a variety of detailed donor care duties including input of confidential donor information, secretarial, data entry, and clerical work to ensure the smooth operation of the Development Department. This role involves significant interaction with donors and requires meticulous record-keeping and administrative support.
Responsibilities
- Answers telephone in a courteous and tactful manner, greets and assists employees and external individuals, and provides accurate information regarding office operations and services.
- Represents the Development Department to donors, prospects, and professionals through phone interaction.
- Performs data entry and maintains donor records and relations using the Development Department donor software management system.
- Administers the processing and receipting of gifts, sorts and records incoming gifts, and prepares acknowledgement letters for certain donors.
- Transcribes dictation and types correspondence, newsletters, bulletins, and reports accurately and timely.
- Prepares, types, and processes documents, correspondence, forms, invoices, notices, bulletins, agendas, schedules, minutes, and birthday cards, ensuring accuracy and timeliness.
- Administers office records, reports, calendars, databases, logs, and lists accurately and timely.
- Updates, posts, and indexes information, and inputs data into the computer to maintain office records.
- Researches office files to locate specific information for report preparation.
- Prepares and proofs various reports, compiling and recording information for routine reports.
- Performs routine filing of correspondence, forms, cards, records, reports, and documents, maintaining an organized filing system.
- Photocopies and shreds various items including correspondence, forms, reports, and documents.
- Receives, sorts, collates, and distributes mail accurately and timely.
- Collects and prepares outgoing mail.
- Compiles information for booklets, kits, and notebooks for conferences, seminars, and meetings.
- Coordinates arrangements for routine meetings, ensuring proper room setup and cleanliness.
- Prepares food and drink as necessary for meetings.
- Performs clerical and secretarial support for special projects, seasonal events, and meetings.
- Makes travel arrangements including flights and lodging for office personnel and attendees.
- Processes invoices for payment, types requisitions and check requests, and maintains supporting paperwork.
- Ensures payments are made accurately and timely.
Requirements
- High school diploma or G.E.D. required.
- Additional secretarial courses preferred.
- Two years of experience performing secretarial work in an office environment.
- Ability to meet attendance requirements.
- Ability to read, write, and communicate the English language.
- Ability to perform routine mathematical computations.
- Ability to transcribe dictation and type.
- Ability to sort and file documents alphabetically and numerically.
- Ability to operate various general office equipment including a telephone, computer, and adding machine.
- Ability to concentrate and pay close attention to detail with frequent interruptions.
- Ability and willingness to conduct all duties in accordance with the ministry of the organization and its Christian principles.
- Conducts all communications and job duties with the highest level of professionalism.
