About the Role
The Property Manager is responsible for the daily operations of the property, including maintenance, leasing, billing, and compliance. This role manages resident services and retention activities to achieve financial goals, while establishing and maintaining positive relationships with stakeholders.
Responsibilities
- Oversees and directs day-to-day property operations.
- Completes and submits all required reports by due dates.
- Coordinates tenant-related activities and record-keeping for financial viability.
- Manages resident renewal and annual recertification processes.
- Monitors leasing, renewal, and recertification activities using Yardi software.
- Prepares new leases and secures tenant signatures.
- Prepares re-certifications, lease renewals, interim adjustments, and other documents.
- Interviews potential tenants from a waitlist and certifies them.
- Maintains compliance with funding and agency requirements by collecting documentation.
- Inspects unit conditions prior to leasing to ensure housing quality standards.
- Ensures maintenance repairs are handled satisfactorily by contacting residents with completed service requests weekly.
- Ensures residents adhere to lease rules and regulations, and issues lease violations as necessary.
- Maintains legible records on each client and reports issues to supervisor.
- Recommends cases of non-compliance to Regional Property Manager and resolves them.
- Responds to tenant or applicant inquiries via phone, email, or in-person.
- Documents and addresses resident complaints related to property issues.
- Resolves problems and escalates issues to the Regional Property Manager as necessary.
- Conducts marketing efforts to ensure occupancy goals.
- Responds to emails throughout the day.
- Maintains occupancy of sites at 95% or higher.
- Maintains receivables at 90% or higher.
- Ensures satisfactory findings at all file audits and physical inspections.
- Ensures compliance with annual requirements for income and asset certification documentation.
- Assists residents with move-in procedures, including documentation, policies, and procedures.
- Manages and monitors accounts receivable, following up with tenants on delinquency.
- Generates and analyzes reports to track and resolve outstanding issues.
- Reviews delinquency reports and sends notices for nonpayment or violations.
- Manages budget, processes invoices, and coordinates rent collection.
- Processes accounts payable, including validating invoices, coding transactions, and submitting for approval.
- Prepares and submits annual budget to Finance.
- Maximizes income and controls costs for each property.
- Conducts monthly reviews of financial reporting and budget variance analysis.
- Ensures all necessary contracts are in place and current.
- Reviews and approves employee timecards and manages time off requests.
- Recruits, interviews, and recommends candidates for hire for up to three direct reports.
- Manages transfers, promotions, and performance management processes for direct reports.
- Assigns, instructs, and directs the work of staff.
- Provides training and guidance on processes, procedures, goals, and standards.
- Prepares performance evaluation documentation and conducts performance evaluation meetings.
- Assists with the eviction process as needed.
- Inspects units upon vacancy and documents results to determine deposit refund.
- Ensures tax credits are issued to limited partner investors and meets related compliance issues.
- Hosts resident meetings to provide information on community resources.
- Attends trainings and stays knowledgeable of changing federal regulations and policies.
- Works closely with other public agencies and organizations for the betterment of residents.
- Demonstrates respect and regard for all individuals to ensure a professional environment.
- Communicates effectively with internal and external customers, respecting cultural differences.
- Performs other duties as assigned.
Requirements
- 3 to 5 years of experience in property management.
- Property leasing and resident services experience strongly preferred.
- Minimum 3 years of specific training in housing management or related management context.
- Customer service experience (e.g., retail, hospitality) desired.
- Experience or familiarity with local, state, and federal service programs preferred.
- Sales experience is a plus.
- Experience using Yardi software system is a plus.
- Must demonstrate ability to review and process information to determine meaning, connections, and appropriate responses.
- Strong written and verbal communication skills to interpret, clarify, and advise on program objectives and tasks.
- Excellent customer service and interpersonal skills.
- Attention to detail to ensure accuracy of applications and adequate addressing of tenant issues.
- Strong problem-solving skills.
- Advanced knowledge of rental contracts, property laws, and anti-discrimination laws.
- Working knowledge of computers including Outlook, basic Excel, Word, Publisher, and PowerPoint.
- Flexible work hours including after-hours response for emergencies.
- Ability to work in various elements, both inside and outside.
- Ability to walk property/properties.
- Ability to sit and stand for extended periods.
- Ability to lift 15-20 pounds.
- Requires automobile, driver’s license, and insurance.
