About the Role
The Assistant Registrar reports to the Registrar or their designee and is responsible for assisting with the maintenance of the credit course and section schedule, permanent academic records, and ensuring institutional FERPA compliance. This role also involves assisting with National Student Clearinghouse reporting, facilitating the withdrawal process, coordinating registration procedures, and supporting the SUNY transfer mobility policy.
Responsibilities
- Assists with the maintenance of the credit course and section schedule for all semesters and terms.
- Collaborates with academic deans and department chairpersons to ensure accuracy of the credit course and section schedule.
- Assists in developing appropriate strategies to resolve scheduling concerns and errors.
- Responds to requests for reservations of classrooms by on-campus organizations and individuals.
- Works with the Center for Access and Assistive Technology and other student services departments to adjust the credit course and section schedule.
- Prepares reports when required and provides information to college staff related to the credit course and section schedule.
- Assists with the maintenance of the permanent academic record for all students.
- Ensures the accuracy and validity of transcripts.
- Manages grade changes.
- Oversees the granting of credit by examination.
- Manages the granting of transfer credit after evaluation.
- Assists with ensuring institutional FERPA compliance.
- Assists Registrar with processes related to National Student Clearinghouse reporting and compliance.
- Assists with review of and process of assuring accuracy of multiple student IDs.
- Facilitates the total withdrawal process and counsels students on the impact of withdrawing.
- Assists with the coordination and development of registration procedures for credit courses.
- Supervises registration activities within the Registrar’s Office.
- Assists the campus community in understanding College policies and procedures.
- Processes Veterans’ enrollment certifications and all related activities.
- May serve as Veteran Certifying Official for the college.
- Assists with preparation of and participates in VA compliance survey audits.
- Maintains oversight of WIRED and the Registration Information Center/student help email.
- Responsible for troubleshooting and testing as issues arise.
- Supports the SUNY transfer mobility policy.
- Assists with the implementation and maintenance of exceptions within DegreeWorks.
- Assists with troubleshooting DegreeWorks issues.
- Assists with testing DegreeWorks system.
- Supports Cross-Registration.
- Serves as the primary point of contact for the campus community with respect to course equivalency maintenance.
- Responsible for oversight of pertinent software.
- Assists with the updating of the online College Catalog.
- Supports office staff in responding to student inquiries and complaints.
- Responsible for speaking with dissatisfied students.
- Assists with the process to determine if a student with a prior degree can be accepted into another program at the associate level.
- Assists with testing of Banner upgrades as they relate to all registrar-related areas.
- May supervise Technical Assistants and Program Assistants.
- Assists other offices within the division of Student Affairs on an as needed basis.
- Performs other duties as assigned.
Requirements
- Bachelor’s Degree from an accredited college or university.
- Four years of relevant experience in a post-secondary educational setting involving direct student contact and routine use of student records and record systems.
- One year of supervisory experience in a professional setting.
- Excellent oral and written communications skills are required.
- Applicants must legally be authorized to work in the United States without restrictions.
- Appointment will be contingent upon completion of a background check.
