About the Role
This position provides comprehensive administrative support to the Donor Recruitment Department and assists Account Managers in preparing for blood drives. The role involves managing inventory, coordinating publicity, maintaining databases, and handling general administrative duties to ensure smooth operations.
Responsibilities
- Assist Account Managers administratively in the preparation of blood drives.
- Support Account Managers in all aspects of preparing for upcoming blood drives.
- Handle inventory of supplies and promotional materials, tracking, and fulfillment for blood drive promotional campaigns.
- Coordinate and produce publicity materials for current blood drives and development of new accounts.
- Maintain organizational databases by updating them with necessary information and running reports.
- Inventory and order supplies, keeping the supply area stocked and organized.
- Oversee operation and maintenance of office equipment.
- Manage materials check-out processes.
- Use software systems to produce queries, donor lists, and other applicable reports for recruitment and management.
- Perform general administrative duties including faxes, emails, answering phones, mailings, typing, and filing.
- Assist in the coordination of events.
- Work closely with and support the Donor Recruitment Specialist.
- Serve as a point of administrative contact and liaison with other offices, individuals, and external constituents.
- Provide administrative assistance and support to assigned organizational staff.
- Prepare various reports based on operational assignments.
- Perform any related duties as assigned.
- Travel up to 25% to donor centers, blood drives, and off-site events.
- Process routine financial and personnel transactions such as invoices, purchase requests, and payroll on an as-needed basis.
Requirements
- High school diploma, GED, or equivalent.
- Broad-based computer experience preferred.
- Valid vehicle operator’s license.
- Any combination of education, training, and experience that has supplied the necessary knowledge, skills, and experience to perform the essential functions of the job.

- $23.00/hr to $25.00/hr in New York City or Westchester County
- Commensurate with skills, job-related knowledge, and experience for positions outside of New York City or Westchester County
