About the Role

The Project Coordinator is responsible for ensuring all assigned projects are documented, uploaded to the PMWeb platform, and that all data entry is correct, in line with client expectations and Project Managers' requirements. This role also administers project managers to ensure the team's success in its goals and objectives, ensuring efficient and consistent updates on project activities to meet contractual obligations, achieve on-time project delivery, financial management, data consistency, and risk management.

Responsibilities

  • Assist Project Managers in developing project plans.
  • Load all projects onto PMWeb in advance of project commencement.
  • Constantly monitor the progress of all assigned projects.
  • Ensure regular data review.
  • Provide analytics review.
  • Collate and review supply chain quotes.
  • Understand the local client’s key business drivers.
  • Support the FM and Clients team to upload small works where applicable to OVP.
  • Serve as the primary point of contact for JLL for the JPMC Account regarding projects.
  • Ensure PMWeb is regularly updated to meet contractual obligations for the JPMC Account.
  • Manage relationships with key stakeholders in the Client’s organization.
  • Work with project managers to plan, schedule, and review capital plan works allocated to JLL.
  • Collaborate with the D&C team to develop and review the BAU/small works plan.
  • Develop and maintain a detailed understanding of the Client’s business and factors influencing service requirements.
  • Collate, review, and upload project quotes with project managers/owners.
  • Provide reports and identify gaps in the project financial process.
  • Support agreed country growth targets for sub-regions.
  • Develop an understanding of Jones Lang LaSalle services and identify cross-selling opportunities.
  • Ensure adherence to the contract in all aspects of the role.
  • Report on key performance indicators, service levels, and other measures.
  • Escalate requirements for change and ensure the change control process is adopted and implemented.
  • Facilitate the transfer of information for projects delivered under the IFM contract throughout EMEA.
  • Keep information on PMWeb up to date.
  • Transfer PMWeb skills to the general working team to assist collaboration and efficiency.
  • Organize communications according to time zones and integrate with Project Managers across EMEA.
  • Report with clarity and precision to team members.

Requirements

  • Minimum 1 year of experience in a similar role.
  • Experience in handling client and/or Firm sensitivities, knowing when to escalate or de-escalate risks.
  • Experience in translating client needs into business growth.
  • Understands technical processes for project coordination.
  • Understands the reporting of all financial aspects of the project.
  • Demonstrates quest for excellence, delivery optimization, and continuous improvement.
  • Understands performance management of the project management team.
  • Possesses planning and organizational skills to prioritize work and meet tight deadlines.
  • Demonstrated client relationship skills.
  • Demonstrated people skills – ability to work effectively within a team and openly, constructively, and collaboratively.
  • Strong communicator – good presentation skills and possesses strong verbal & written communication skills (English & local language); also an active listener.
  • Self-motivated and confident, with gravitas and EQ.
