About the Role
The Executive Assistant will provide comprehensive support to the legal transformation leadership team, ensuring efficient interaction with stakeholders. This role requires a proactive, highly organized individual with confidence to suggest and own projects, and the ability to handle confidential information with discretion.
Responsibilities
- Provide business and administrative support, including managing complex diary requirements and tracking actions lists.
- Maintain calendars, schedule meetings, appointments, and travel arrangements, exercising discretion in committing time and evaluating needs.
- Determine priority of matters for Directors and redirect or handle matters personally.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Act as a liaison with other departments, facilitating smooth communication and prompt resolution of requests and issues.
- Manage the set up and co-ordination of team meetings, including preparing agendas, sourcing presenters, designing slides, and running webinars.
- Oversee budgets, serving as the central point of contact for budget queries.
- Handle confidential information with integrity, discretion, and sensitivity.
- Update intranet/Teams pages, coordinating and posting team updates and regularly updating organization charts.
- Support project administration and reporting requirements.
- Organize team social events.
- Process invoices, expense claims, and new supplier requests.
- Perform any other tasks as required by the leadership team.
Requirements
- Proven experience (minimum three years) of supporting senior management as an executive assistant or in other secretarial positions.
- Full comprehension of office management systems and procedures.
- Excellent knowledge of MS Office, particularly Excel, Word, and PowerPoint.
- Exemplary planning and time management skills.
- Ability to multitask and prioritize daily workload.
- High level of verbal and written communications skills, and ability to deal with people at all levels within the organization.
- Discretion and confidentiality.
- An interest in legal transformation work would be beneficial.
