About the Role

This role combines organizational management, executive reporting, and strategic project management within the International Private Bank, Wealth Management Solutions team. You will support the Head of IPB Solutions in managing the business's operating rhythm, driving strategic initiatives, and ensuring leadership has the necessary insights for decision-making. Success requires strong organizational discipline, excellent communication, and the ability to produce clear, executive-ready materials under tight deadlines.

Responsibilities

  • Support the Head of IPB Solutions and manager on organizational management, including headcount, expense planning, budget cycles, and organizational updates.
  • Prepare executive-ready materials for leadership meetings, governance forums, and senior reviews.
  • Produce regular management updates and reporting for leadership.
  • Track and close out actions and decisions from leadership and management meetings.
  • Manage the business's operating rhythm by scheduling sessions, preparing materials, capturing actions, and driving follow-up.
  • Maintain central documentation, trackers, and templates for consistent team operations.
  • Coordinate across regions and lines of business to ensure joined-up workstreams.
  • Identify and escalate risks, issues, and dependencies through appropriate channels.
  • Maintain governance across the strategic initiatives portfolio, including workplans, milestones, dependencies, and decision trackers.
  • Support prioritization management, including intake tracking, initiative taxonomy, sequencing, and capacity/impact views.
  • Produce monthly portfolio reporting on status, risks, issues, decisions, and milestones.
  • Coordinate engagement across lines of business and regions for partnership and client initiatives.

Requirements

  • Strong program management fundamentals, including workplan development, stakeholder communication, minute-taking, action tracking, and status reporting.
  • Comfortable working directly with senior leaders and handling confidential information discreetly.
  • Proven ability to manage cross-functional stakeholders and drive follow-through across regions and workstreams.
  • Ability to balance project and organizational management, operational and strategic work with shifting priorities.
  • Experience in a business management, project management, strategy, or similar role is beneficial, ideally in financial services.
  • Excellent written and verbal communication skills, with the ability to synthesize complex information into concise, executive-ready updates.
  • Highly organized with strong attention to detail and the ability to manage competing deadlines.
  • Advanced Excel and PowerPoint skills.
  • Bachelor’s degree or equivalent practical experience.
