About the Role
The Hospitality & Events Manager will own the end-to-end planning and delivery of bespoke guest management programmes at Formula 1 races. This role translates commercial objectives into premium, seamless guest experiences that reflect the Williams brand, acting as the primary point of contact for partners.
Responsibilities
- Organise and deliver end-to-end guest management programmes for allocated races.
- Develop comprehensive guest programme proposals aligned to partner objectives and budgets.
- Manage the end-to-end guest journey from pre-event planning through to post-event delivery.
- Utilise guest registration portals to gather guest data, manage communications, and produce personalised itineraries.
- Maintain and update guest itineraries in real time during race weekends.
- Act as the primary point of contact for partners regarding guest programme delivery.
- Source and manage accommodation solutions for guest programmes.
- Manage hotel rooming lists, guest lists, and on-site guest requirements.
- Work with suppliers to procure and manage in-country transport.
- Coordinate complex travel and logistics schedules.
- Source and book dinner reservations and venues.
- Plan and deliver bespoke dinners and events with partners.
- Liaise with internal teams and external suppliers to ensure activations meet brand and quality standards.
- Procure custom gifting, managing production, freight, and delivery timelines.
- Manage relationships with key suppliers, ensuring service delivery meets agreed standards.
- Track programme budgets accurately and ensure compliance with financial processes.
- Attend allocated races and manage the full guest programme on site.
- Oversee suppliers, transport providers, hotels, and venues on site.
- Deliver high-touch guest hosting, ensuring a premium and seamless experience.
- Resolve issues proactively and calmly in a fast-paced, high-pressure environment.
- Work closely with the wider Hospitality & Events team to ensure alignment across programmes.
- Collaborate with internal stakeholders across Partnerships, Marketing, Operations, and Finance.
- Deliver end-to-end guest management programmes to the highest standard.
- Maintain exceptional levels of accuracy, organisation, and attention to detail.
- Manage budgets responsibly and in compliance with processes.
- Act as a professional, confident, and trusted ambassador for Williams.
- Ensure understanding of and compliance with health and safety obligations.
- Work in line with Williams Values & Behaviours.
- Identify opportunities for continuous improvement in guest experience delivery.
- Adhere to brand rules and maintain high standards of department presentation.
- Work to quality standards and contribute ways to continuously improve department and personal performance.
- Ensure understanding of cost cap rules and requirements.
Requirements
- Proven experience in hospitality, events, guest management, or travel management (6+ years).
- Experience delivering complex, high-touch guest programmes.
- Experience managing budgets and working within defined processes.
