About the Role
We are looking for an experienced Dental Practice Manager to lead our Hempstead practice. This is a hands-on management role focused on running a dental office, leading a team, managing patient flow, overseeing insurance and collections, and ensuring daily operational efficiency. The practice offers an opportunity to establish systems and build relationships before patient volume increases, with centralized support available.
Responsibilities
- Manage the overall day-to-day operation of the office, including patient experience, team performance, schedules, collections, and front-office execution.
- Oversee Medicaid eligibility, benefits, prior authorizations/predeterminations, and required documentation.
- Manage PPO insurance verification and patient benefits.
- Oversee patient ledgers, balances, insurance estimates, and outstanding amounts.
- Investigate patient ledger discrepancies.
- Manage patient collections, including copays, deductibles, balances, and treatment payments.
- Present treatment plans and explain recommended care and financial responsibilities to patients.
- Follow up on unscheduled treatment and contact patients to schedule appointments.
- Reappoint hygiene patients and maintain a strong continuing-care schedule.
- Ensure doctor and hygiene schedules are full and productive.
- Actively manage cancellations, no-shows, and open appointment times.
- Confirm patient appointments and contact patients appropriately.
- Monitor patient flow and address bottlenecks.
- Assign and ensure completion of front-office responsibilities.
- Understand outstanding patient versus insurance balances.
- Determine when insurance or billing issues should be resolved internally versus escalated to the centralized RCM team.
- Ensure predeterminations and prior authorizations are followed through.
- Maintain accurate notes and ensure unresolved patient issues are resolved.
- Manage and develop the front-office team, holding them accountable.
- Partner effectively with doctors, hygienists, dental assistants, and centralized support teams.
- Set expectations for attendance, punctuality, professionalism, and patient service.
- Foster an organized, accountable, and positive office culture.
- Understand the basic operating performance of the practice.
Requirements
- Prior dental practice management experience is strongly preferred.
- Prior experience working in a dental office with a significant Medicaid patient population is required.
- Spanish and English bilingual fluency is required for comfortable and professional communication with patients and team members.
- Ability to take ownership of the practice.
- Strong dental front-office and operational experience.
- Understanding of Medicaid dental workflows, eligibility, authorizations, and documentation.
- Ability to read and understand a patient ledger and investigate balances.
- Comfort discussing finances with patients professionally.
- Understanding of treatment planning and ability to help patients proceed with care.
- Experience managing productive doctor and hygiene schedules.
- Understanding of reappointment, recall, and following unscheduled treatment.
- Ability to manage a team, set expectations, and follow up on tasks.
- Proactive problem identification and resolution.
- Organization, responsiveness, and dependability.
- Punctuality and accountability.
- Ability to handle a fast-moving environment while maintaining attention to detail.
- Effective communication with diverse patient backgrounds.
- Ability to balance patient experience with operational and financial needs.
- Experience with CareStack is a strong plus, or substantial experience with another dental practice-management system and ability to learn new technology quickly.
