About the Role
Our Client Service Representatives are an important part of the hospital and the experience we provide to our clients and patients. They answer calls, welcome families, coordinate appointments, and communicate with the medical team, ensuring clients feel supported and patients receive the care they deserve. We seek someone who enjoys helping people, communicates with kindness and professionalism, thrives in a busy veterinary environment, and understands the importance of exceptional client service.
Responsibilities
- Greet clients warmly and professionally, creating a welcoming experience.
- Answer incoming phone calls, assisting clients with appointments, services, policies, and general information.
- Schedule appointments and procedures, maintaining an organized and efficient hospital schedule.
- Communicate clearly and compassionately with clients.
- Assist clients with routine questions and connect them with the appropriate medical team member.
- Efficiently manage client and patient check-ins, confirming and updating necessary information.
- Process payments accurately and provide invoices and receipts.
- Coordinate smooth check-out experiences and schedule follow-up appointments.
- Ensure accurate communication between clients and the veterinary team.
- Maintain a calm and compassionate approach with worried or emotional clients.
- Maintain accurate electronic and paper medical records.
- Complete administrative tasks including scanning, filing, data entry, and documentation.
- Maintain and update client and patient information in the practice management system.
- Assist with appointment and schedule management.
- Keep reception and client-facing areas organized and welcoming.
- Work closely with veterinarians, veterinary technicians, assistants, and fellow client service team members to support efficient patient flow.
- Communicate client concerns, schedule changes, special requests, and important information to team members.
- Support coworkers during busy periods and contribute to a positive, collaborative hospital environment.
- Help create a seamless experience between clients and the medical team.
Requirements
- Excellent interpersonal and customer service skills with a friendly and professional demeanor.
- Strong verbal and written communication skills.
- Ability to multitask and stay organized in a fast-paced environment.
- Strong attention to detail and follow-through.
- Comfort using computers and learning veterinary practice management software.
- Empathy and patience when working with clients who may be anxious or concerned about their pets.
- Dependability and a team-oriented attitude.
- Genuine interest in veterinary medicine and creating an exceptional experience for clients and their pets.
- Previous veterinary receptionist, Client Service Representative, veterinary assistant, or animal hospital experience is strongly preferred.
