About the Role
The Facility Assistant Manager assists the Facility Manager in the operation and maintenance of commercial office Facilities, including resolving maintenance issues, addressing safety and operational matters, scheduling work, and record keeping.
Responsibilities
- Acts as liaison between Facilities occupants/tenants and Facility Manager for work requests and to identify and resolve problems.
- Reviews tenant/occupant requests with respect to lease obligations and generates work orders.
- Monitors and maintains physical management of structures, equipment, and outdoor areas, including electrical, plumbing, roof, walls, and appliances.
- Writes work orders for Maintenance Mechanics based on information from the Facility Manager and approved requests.
- Drafts memos and/or makes calls to occupants/tenants regarding Facilities issues and preventive maintenance scheduling.
- Schedules and participates in 24-hour emergency coverage to protect personnel, equipment, and property.
- Assists in the establishment, implementation, and monitoring of a workplace safety program.
- Assists the Facility Manager in preparing a schedule for preventative maintenance, capital repairs, and replacements.
- Keeps abreast of changes to suite occupancy, updating records and reporting changes monthly.
- Meets regularly with the Facility Manager to review procedures and discuss problems or concerns.
- Assists the Facility Manager with administering suite occupancy, including providing introductory letters regarding emergency contacts and evacuation procedures.
- Assists the Facility Manager with move-in/out projects.
- Assists the Facility Manager in overseeing the bidding and implementation of tenant improvement and capital improvement projects.
- Performs inspections of snow removal, landscaping, janitorial, rubbish, and maintenance/repairs on Facilities grounds.
- Develops and maintains positive relationships with repair vendors and Facilities contractors.
- Performs special projects and additional duties as required.
- Consistently adheres to regulatory and compliance policies and standards.
- Maintains compliance with applicable federal, state, and local laws and regulations.
Requirements
- High School / High School Equivalency (GED, HiSET, TASC) / Foreign Equivalent education level.
- Minimum 4+ Years in Facilities or real estate operations.
- Experience in administrative office practices and procedures.
- Experience in coordinating and scheduling.
Skills
- Knowledge of safety procedures as related to Facilities management functions.
- Knowledge of Facilities structures and general facilities maintenance.
- Strong verbal, written, and interpersonal communication skills.
- Proficiency in Microsoft Office, Word, Excel, Outlook.
- Exceptional organizational, prioritization, and follow-up skills.
- Excellent research and analysis skills.
- Knowledge of basic office practices and procedures.
- Detail oriented.
- Strong customer service skills.
- Ability to manage multiple tasks simultaneously and meet established deadlines.
- Ability to build and maintain effective relationships with stakeholders.
- Ability to identify needs and deliver tailored solutions to enhance client experience.
