About the Role
Perform a variety of office services functions including mail processing, distribution, copying, scanning, faxing, hospitality, reception, and records management.
Responsibilities
- Ensure total customer satisfaction through understanding expectations, proactive problem identification, and relationship building.
- Receive, sort, and deliver all incoming mail and packages within established time frames.
- Wrap, seal, weigh, affix postage, and dispatch all outgoing mail and packages according to postal regulations.
- Prepare and process outgoing overnight items, meeting client and vendor deadlines.
- Log and deliver incoming overnight packages within established time frames.
- Log outgoing and incoming items and review for accuracy.
- Organize and distribute supplies to clients, verify and log orders, and monitor inventory.
- Handle items for distribution to client employees, affiliates, and dealers.
- Estimate runtime on photocopy jobs, check copies for quality and accuracy, and produce bound copies.
- Deliver and pick up copy jobs.
- Perform minor maintenance of photocopy machines, such as solving paper jams and placing service calls.
- Operate facsimile machines, send and receive faxes, and maintain logs.
- Generate activity and confirmation reports for faxes and confirm receipt as necessary.
- Perform administrative duties such as inserting, copying, photocopying, and faxing.
- Learn new features and functionalities of copying machines, faxes, scanning, and shipping equipment.
- Set up and maintain kitchen areas and conference rooms, order food, and make coffee.
- Provide reception work, including answering telephones, taking messages, and greeting visitors.
- Move boxes, supplies, or furniture, and replace light bulbs.
- Perform document scanning.
- Prepare outgoing items for shipping.
- Prepare reports to measure productivity and billing charges.
Requirements
- High school diploma or equivalent.
- 5+ years of experience working in a mailroom or professional office environment.
- Ability to assist other lower-level FSRs as necessary.
- Thorough knowledge of all shipping procedures.
- Ability to perform all necessary computer skills.
- Ability to perform the functions of all equipment and systems (fax, scanner, metering, stamping, tracking systems, photo-copying, color copying, etc.).
- Excellent customer service, professional attitude, and appearance.
- Ability to work overtime and meet deadlines.
- Physical activity required including bending, reaching, lifting, and prolonged periods of sitting or standing.
- May lift and/or move up to 50lbs.
