About the Role

The Legal Assistant provides a variety of coordination, legal clerical support, and administrative services to the legal management/procurement team. They interact with all levels of the organization as well as external directors, clients, contacts and supports the day-to-day operations of the department by acting as contact for all administrative needs, requests, and inquiries.

Responsibilities

  • Word processing involving typing and formatting fund prospectuses and supporting documents, agreements, resolutions, correspondence, forms, minutes, and fund meeting materials.
  • Providing administrative support to prospectus and other regulatory filings.
  • Preparation of material and other support for Board meetings.
  • Processing legal bill and external director fee payments.
  • Liaising with external and internal clients on administrative issues.
  • Performing general clerical duties, including filing, expense reports, and calendar management.
  • Assisting with projects as assigned by legal department.
  • Provide an administrative support to the procurement Team.

Requirements

  • Post-secondary education or equivalent work experience.
  • Minimum of 3-5 years’ experience as an Administrative Assistant.
  • Legal experience is preferred (corporate law).
  • Executive experience is an asset.
  • Experience managing large and complex documents.
  • Current work authorization for Canada is required.

Skills

  • Strong written and verbal communication skills.
  • Attention to detail and strong organizational skills.
  • Ability to handle multiple tasks, meet strict deadlines and adapt to unique and changing expectations.
  • Ability to work in a fast-paced environment with minimal supervision while adopting a proactive approach.
  • Familiarity with fund prospectus documents is an asset.
  • Advanced knowledge of MS Office (Word, PowerPoint, Excel, and Outlook: must be able to manipulate large and complex documents easily and quickly, including tracking revisions, creating table of contents, importing tables etc.)

  • $31.00 to $43.00 per hour
