About the Role

The Center for Justice Innovation is seeking a Deputy Director of Real Estate Operations to oversee facilities management, property management, repair and maintenance, project management, capital purchasing, and vendor management. This role ensures the highest quality of facilities care and compliance across multiple locations and serves as a strategic partner to solve operational challenges.

Responsibilities

  • Lead Facilities department response to emergencies within 8 calendar hours.
  • Develop construction, technological, mechanical, and furniture plans with designers and site staff.
  • Develop onsite logistics for major renovations, repairs, and construction projects.
  • Track all projects and repairs through ticketing systems, ensuring timely completion.
  • Ensure daily operational capacity for 40 sites and strategize contingency planning.
  • Create facilities reports detailing open items, project updates, and compliance issues.
  • Assist with repairs at project sites including plumbing, lighting, electrical, hardware, carpentry, furniture building, drywall patch and paint.
  • Exercise independent judgment to evaluate facilities needs and determine optimal courses of action.
  • Create vendor and construction RFPs and track bids.
  • Coordinate special maintenance and improvement projects with operating sites and facilities managers.
  • Assist Technology department with computer placement, wireless access point, and camera installation.
  • Perform other duties as assigned.
  • Oversee the entire property portfolio, create inspection criteria, and conduct site reviews.
  • Build relationships with property owners and strategize continuous site and operations improvement.
  • Develop property improvement planning and budgeting, including initial estimates.
  • Assist with property searches, interface with Real Estate brokers, and help develop real estate strategy.
  • Oversee the Property Manager responsible for rent payments, rent increases, taxes, OPEX, and additional expenses.
  • Identify conflicts and bring them to the Director’s attention.
  • Lead staff development in project management, scheduling, budgeting, and repair closeout.
  • Set goals and assist staff with professional development.
  • Coordinate with ownership, landlords, and management companies to address emergencies and schedule repairs.
  • Regularly review sites for emergency procedures and ensure compliance.
  • Maintain lease, contact, and asset databases, updating electronic lease files and rent trackers.
  • Oversee project management duties including tracking contractor payments, coordinating subcontractors and vendors, and managing move logistics.
  • Bid, review, and coordinate the HVAC preventive maintenance program, including cost analysis and communication.
  • Oversee the selection and performance of vendor services, including pest control, carting, data cabling, cleaning, movers, security, custodial, and furniture.
  • Reconcile and submit vendor invoices.
  • Ensure property safety compliance standards and assist in Fire and Life Safety training.
  • Maintain building emergency response plans and procedures.
  • Create Property Management summaries and reports.
  • Oversee day-to-day aspects of major capital and repair projects.
  • Plan, bid, and interview contractors, subcontractors, and project-related vendors.
  • Track project budgets, ensuring projects are within scope and cost.
  • Identify and address project issues and problems.
  • Track project schedules and identify schedule risks.
  • Regularly inspect project sites to confirm progress according to contract and lease documents.
  • Review change orders, progress requisitions, and closeout projects.
  • Approve/reject and submit invoices.
  • Communicate project updates through reports and internal meetings.
  • Review and develop scope for furniture, equipment, and vehicle purchases.
  • Manage security devices.
  • Oversee leasehold improvements and large-scale repair projects between $5,000-$50,000.

Requirements

  • High school diploma and at least 10 years' experience in facilities management, maintenance, and renovations; or a trade license and 5 years' experience (e.g., electrician, plumbing, HVAC).
  • Ability to read construction, furniture, and cabling documents.
  • Knowledge of all aspects of building systems, contractual maintenance, construction, and related services.
  • Excellent organizational and problem-solving skills.
  • Meticulous attention to detail.
  • Supervisory experience with both in-house staff and in project management.
  • Ability to effectively meet deadlines.
  • Excellent communication skills and ability to communicate with all levels of management.
  • Strong interpersonal, coaching, and administrative skills.
  • A valid New York driver’s license and fewer than three points on the driving record.
  • Proficiency in Microsoft Office.
  • Ability to lift 25 pounds frequently and up to 75 pounds occasionally.
  • Ability to stand, walk, reach, climb a ladder, and pull and push.
  • Must be legally authorized to work in the United States at the time of application and throughout employment.
