About the Role
The Residency Program Coordinator ensures compliance with current guidelines and coordinates the day-to-day operations of the departments residency and/or fellowship program for residents, fellows, and voluntary Attendings. This role ensures timely submission of House staff appointment applications and maintains accurate records of current and past residents.
Responsibilities
- Coordinates all aspects of the resident/fellow interview process, including scheduling, correspondence, and credential verification.
- Ensures completion of documents for house staff applicants in coordination with House Staff Affairs and Human Resources.
- Implements and manages the New Innovations residency management software, including data reporting and user training.
- Coordinates Orientation Day for new house staff, including revisions to the Residency Training Program Manual and necessary clearances.
- Serves as a resource for house staff, notifying them of schedules and conditions of appointment, and assists in resolving problems.
- Assists International applicants with J1 and H1 VISA applications and submits required documents to relevant agencies.
- Prepares resident/fellow schedules, including didactic lectures, grand rounds, and calendars of events.
- Provides administrative oversight for residency and fellowship programs, including handling inquiries, correspondence, and maintaining program files.
- Ensures compliance with departmental policies and program requirements, including duty hour reports, evaluations, and moonlighting activities.
- Arranges for resident/fellow participation in program activities and external events.
- Organizes rank order list meetings and ensures accurate submission to the National Resident Matching Program.
- Maintains and monitors records of resident attendance for required educational activities and the residency curriculum.
- Ensures current and complete data on resident procedural experience, including ACGME Case Logs and New Innovations.
- Collects and provides evaluation materials for transferring residents.
- Develops and maintains program letters of agreement for outside rotations.
- Prepares for Internal Reviews of the program.
- Performs other related duties.
Requirements
- Bachelors degree or equivalent experience.
- 3 years administrative experience in a medical and/or academic setting.
