About the Role

The Manager of Special Events focuses on the fundraising, planning, and oversight of high-end events for major donors, sponsors, and members, with a primary focus on the annual Gala. This role involves strategic frontline fundraising, management, and execution of 25-40 events annually, project management, and building strong relationships with stakeholders.

Responsibilities

  • Manage and execute the Armory’s fundraising events, including the annual Gala and benefit events.
  • Manage administrative and logistical aspects of major fundraisers, including financials, mailings, and vendor coordination.
  • Collaborate with key staff on special projects for events, including printed materials, run of show, entertainment, and décor.
  • Manage a portfolio of cultivation and private events for donors and membership groups.
  • Coordinate back-office administration, including vendor contracts, supplies, meeting scheduling, and expense tracking.
  • Ensure all events conform to the institution's aesthetic standards.
  • Collaborate with applicable departments to ensure coordinated event planning and execution.
  • Perform other event management responsibilities as needed.
  • Build special engagement with committee leadership, members, event leadership, and donors to support fundraising events.
  • Implement and improve systems for financial revenue and expense tracking.
  • Utilize Tessitura (fundraising CRM) for storing fundraising and events data.
  • Perform other fundraising, event, and development responsibilities as needed.
  • Build and supervise a dynamic events team, including staff, interns, consultants, contractors, and vendors.
  • Assist in building and maintaining productive working relationships within the development department and with other departments.
  • Perform other supervisory duties as needed, including recruiting, hiring, and performance evaluation.

  • Excellent written and verbal communication skills.
  • Sound judgment, professionalism, and discretion in handling confidential information and sensitive matters.
  • Ability to work nights, weekends, and holidays, as needed.
