The Front Office Representative provides welcoming, efficient, and accurate patient service while supporting evening and weekend clinic operations. This role is crucial for maintaining a positive patient experience and ensuring smooth clinic flow.

Responsibilities

  • Greet patients and visitors courteously and professionally.
  • Assist patients with required forms and maintain an organized check-in/checkout process.
  • Support patient flow by communicating arrivals, delays, and service needs.
  • Answer and direct telephone calls, respond to non-clinical inquiries, and arrange patient callbacks.
  • Relay accurate patient information to team coordinators and clinical staff.
  • Schedule and reschedule appointments, communicating changes.
  • Enroll new patients and assist with primary care provider assignment.
  • Verify and update patient demographic information, insurance coverage, and other required documentation.
  • Collect and accurately post copayments, patient payments, and other charges.
  • Provide information about the sliding fee program.
  • Deliver releases and requests for information, legal documents, and other paperwork to appropriate staff.
  • Monitor electronic health record flags, email, and internal communications.
  • Collaborate with clinical and administrative staff to address patient service concerns and support clinic operations.
  • Maintain patient confidentiality and adhere to agency policies and procedures.

Requirements

  • Ability to perform each essential duty satisfactorily, with or without reasonable accommodation.
  • High school diploma or GED equivalent required.
  • Must be organized and efficient.
  • Demonstrate accurate typing and data-entry skills.
