About the Role

Responsible for being a support person and/or first point of contact for patients, staff, and guests presenting at the clinic, and performing all administrative tasks associated with patient check-in. This role also provides administrative support remotely in the event of clinic closure.

Responsibilities

  • Perform all Medical Administrative Clerk essential duties.
  • Assist with training medical administrative clerks, including orientation and competencies.
  • Manage opening the front office and associated duties.
  • Handle end-of-day processing and documentation, including deposit preparation.
  • Participate in investigating complex patient issues, scheduling, and billing.
  • Act as a subject matter expert in insurance eligibility and coverage.
  • Monitor telephone activities for volume and efficiency, providing support as needed.
  • Monitor patient registration workflow volumes and provide support to alleviate bottlenecks.
  • Serve as back-up support for the administrative supervisor.
  • Document, communicate, and escalate patient concerns to site leadership.
  • Serve as primary or secondary contact for vendors and contracted services.
  • Utilize various software systems for front-end desk and administrative duties.
  • Serve as primary or secondary contact for IT services, including equipment reconciliation.
  • Manage supply orders, site equipment, and facility management.
  • Analyze team member data/metrics and discuss professional development.
  • Support, organize, and execute events, meetings, and team-building activities.
  • Work remotely to support the healthcare team with administrative duties during site closures.
  • Perform all duties ethically and in accordance with the Code of Conduct.
  • Perform other job-related duties as assigned.

Requirements

  • At least one year of experience in registration or front office duties in a dental, physician’s office, hospital emergency department, and/or urgent care setting.

Skills

  • Knowledge of healthcare office concepts, practices, policies, and procedures.
  • Knowledge of insurance verification procedures.
  • Proficiency in Microsoft Office Applications (Word, Excel, Outlook).
  • Understanding of HIPAA and Joint Commission guidelines and regulations.
  • Exceptional customer service skills.
  • Strong verbal and written communication skills, including telephone and email etiquette.
  • Ability to work independently in a fast-paced, multi-task clinical environment.
  • Ability to work effectively as part of a team.
  • Effective problem-solving techniques.
  • Ability to understand data metrics in Epic EMR system (work queues, in-basket, claim work queues).
  • Ability to work in a self-directed, organized manner.
  • Ability to multitask with strong attention to detail and accuracy.
  • Ability to present information consistently, organized, and accurately.
  • Flexibility and ingenuity in response to change.
  • Ability to develop and maintain effective working relationships.
