About the Role
The Practice Manager is responsible for the day-to-day administrative, operational, financial, and personnel management of multiple community medical practices. This position provides leadership to ensure the delivery of high-quality, patient-centered care while maintaining compliance with all applicable regulatory, accreditation, and organizational requirements. The Practice Manager oversees clinical support operations, staff performance, patient experience, quality improvement initiatives, revenue cycle optimization, grant administration, and community outreach activities.
Responsibilities
- Direct and oversee the daily operations of the Family Medicine Practice to ensure efficient, patient-centered, and financially sustainable services.
- Supervise administrative, clinical support, and front-office staff, including hiring, onboarding, scheduling, coaching, and performance management.
- Develop, implement, and maintain office policies, procedures, and workflows to optimize patient access, throughput, and operational efficiency.
- Ensure compliance with federal, state, and organizational regulations, including HIPAA, OSHA, accreditation standards, and payer requirements.
- Monitor practice performance metrics, including patient satisfaction, access, quality measures, productivity, appointment utilization, and revenue cycle indicators.
- Manage physician and provider schedules to maximize patient access and operational effectiveness.
- Oversee registration, scheduling, referrals, authorizations, medical records, and patient communication processes.
- Collaborate with physicians, advanced practice providers, nursing leadership, and administrative teams to support the delivery of high-quality primary care services.
- Direct revenue cycle activities, including charge capture, coding, billing, collections, denial management, and financial reconciliation.
- Develop and monitor operating budgets, analyze financial performance, and identify opportunities for growth and cost containment.
- Oversee supply chain, equipment maintenance, vendor relationships, and facility management functions.
- Ensure effective utilization of the electronic health record (EHR) and other practice management systems to support clinical and operational objectives.
- Lead quality improvement initiatives, patient experience programs, and workflow redesign efforts to enhance outcomes and service excellence.
- Investigate and resolve patient concerns, complaints, and service recovery issues in a timely and professional manner.
- Facilitate staff meetings, provider meetings, education programs, and communication initiatives that support organizational goals.
- Foster a culture of accountability, collaboration, customer service, safety, and continuous improvement.
Requirements
- Bachelor's degree and at least 3 years of Practice Manager experience in the healthcare setting or, in lieu of degree, equivalent combinations of education and experience (Candidates without a bachelor's degree may be considered if they possess at least seven (7) years of directly relevant professional experience.)
- Excellent communication and interpersonal skills.
- Strong time management, organizational skills, and problem-solving skills.
- Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Southampton Hospital’s Employee Health Services.
- Complete electronic reference check with a minimum of three (3) professional references.
- Successfully complete a 4 panel drug screen.
- Meet Regulatory Requirements for pre-employment screenings.
- Provide a copy of any required New York State license(s)/certificate(s).
