About the Role

The Residency Program Coordinator ensures compliance with current guidelines of the AMA, ACGME, and applicable specialty boards. This role coordinates the day-to-day operations of the residency and/or fellowship program for residents, fellows, and voluntary Attendings, and ensures timely submission of House staff appointment applications.

Responsibilities

  • Coordinates all aspects of the resident/fellow interview process, including scheduling, correspondence, and credential verification.
  • Collaborates with House Staff Affairs and Human Resources to ensure completion of ERAS documents for house staff appointments.
  • Implements New Innovations residency management software, including data management, reporting, and user training.
  • Coordinates Orientation Day for new house staff, including revisions to the Residency Training Program Manual and necessary clearances.
  • Serves as a resource for house staff, notifying them of schedules and ensuring compliance with guidelines.
  • Communicates conditions of house staff appointment to candidates and assists in resolving problems.
  • Assists International applicants with J1 and H1 VISA and submits required documents.
  • Prepares resident/fellow schedules, including didactic lectures, grand rounds, and events.
  • Corresponds with lecturers and coordinates lecture dates, topics, and audiovisual needs.
  • Provides administrative oversight for residency and fellowship programs, including handling inquiries and maintaining files.
  • Ensures compliance with departmental policies and residency/fellowship program requirements.
  • Arranges for resident/fellow participation in internal and external program activities.
  • Organizes rank order list meeting for the Resident Selection Committee and ensures accurate submission to the NRMP.
  • Maintains and monitors records of resident attendance for required educational activities.
  • Maintains the residency curriculum, including competency-based goals and objectives.
  • Creates and edits the departmental residency training manual.
  • Ensures current and complete data on resident procedural experience, including ACGME Case Logs and New Innovations Procedure Logger.
  • Collects summative evaluations and rotation lists for transferring residents and provides materials for residents transferring out.
  • Develops and maintains program letters of agreement for required rotations at outside institutions.
  • Prepares for Internal Reviews of the program as directed by the GME Office.
  • Performs other related duties.

Requirements

  • Bachelors degree or equivalent experience.
  • 3 years administrative experience in a medical and/or academic setting.

Skills

  • Certified as TAGME (Training Administrators of Graduate Medical Education) preferred
