About the Role

The Administrative Assistant I, General is responsible for providing administrative and reception support within the Urology Program at the University Health Network. This role involves managing a broad range of administrative responsibilities in a dynamic academic and clinical environment. The ideal candidate will be resourceful, detail-oriented, and able to manage multiple priorities while providing strong support to physicians and learners.

Responsibilities

  • Manage patient schedules, appointments, and cancellations using the Epic system.
  • Verify patient insurance coverage and process claims.
  • Coordinate patient referrals and follow-up care with other healthcare providers.
  • Respond to patient inquiries and concerns in a timely and professional manner.
  • Assist medical staff with administrative tasks, such as preparing reports and correspondence.
  • Maintain and organize patient medical records in a secure and confidential manner.
  • Process release of information requests from patients, healthcare providers, and hospital management.
  • Book surgeries and procedures for patients.
  • Provide administrative support to medical staff, such as scheduling appointments and preparing reports.

Requirements

  • At minimum, 1 year relevant experience, preferably in health care.
  • Knowledge of medical terminology is an asset.
  • Experience working in health profession education/care programs and/or a research/academic environment is preferred.
  • Computer proficiency required (Microsoft Office environment, Word, Access, PowerPoint, Outlook and Excel).
  • Excellent organizational and time management skills.
  • Excellent interpersonal skills and demonstrated ability to work effectively, both independently and as a team member.
  • Excellent verbal and written communication skills.
  • Ability to effectively handle confidential matters and materials.
  • Ability to work well under pressure.
  • Knowledge of administrative, organizational/office practices, procedures and standards.
  • Current UHN employees must have successfully completed their probationary period, have a good employee record along with satisfactory attendance in accordance with UHN's attendance management program, to be eligible for consideration.
