About the Role
This position assists the CSO in managing strategic projects, translating corporate strategies into actionable plans, and tracking project execution and value realization. It focuses on project intake, planning, progress tracking, risk management, and ensuring adherence to PMO governance processes.
Responsibilities
- Assist the CSO in establishing and maintaining the company-level strategic project management mechanism.
- Translate approved corporate strategies into clear project plans with owners, milestones, risks, and value targets.
- Track project execution, business acceptance, and results reviews.
- Manage strategic project intake, initiation checks, portfolio maintenance, integrated planning, and progress tracking.
- Identify and escalate unclear accountability, missed milestones, resource conflicts, and delays.
- Execute and maintain PMO governance processes and recommend improvements.
- Receive and register strategic, reform, system, new-business, and key cross-functional projects.
- Verify project definitions including business problem, strategic value, scope, owner, and timeline.
- Assist in prioritizing projects based on strategic value, urgency, resources, risk, and return.
- Maintain the corporate strategic project portfolio, identifying duplicates and conflicts.
- Retain approval rationale and change records for project modifications.
- Coordinate the completion of the Strategic Project Charter.
- Assist in establishing work breakdown, milestone plans, and responsibility matrices.
- Identify and incorporate cross-project dependencies into the master plan.
- Organize project kick-off meetings.
- Coordinate reassessment of impact for major changes to scope, budget, or timing.
- Continuously compare planned versus actual progress.
- Establish RAG project status standards and identify delays or blockers.
- Record risks and issues, and drive owners to define corrective actions.
- Alert the CSO and relevant owners to matters affecting key milestones or objectives.
- Escalate unresolved issues to the CSO or CEO for decision.
- Proactively verify actual project status and supporting evidence.
- Organize strategic project meetings, transformation reviews, and decision meetings.
- Document meeting conclusions, owners, and completion dates clearly.
- Create and track an action-item log after meetings.
- Maintain decision records.
- Coordinate with Operations, Merchandising, Finance, HR, CAO, IT, Supply Chain, Marketing, and Expansion to resolve conflicts.
- Drive departments to identify business owners and project points of contact.
- Define provider, recipient, delivery standard, date, and acceptance requirements for cross-functional deliverables.
- Summarize issue background, business impact, options, and recommendations for management decisions.
- Define and manage separate standards for deliverable acceptance and value realization.
- Coordinate acceptance by user departments after go-live.
- Conduct 30/60/90-day post-launch reviews.
- Manage projects that meet go-live requirements but have not achieved expected value.
- Coordinate root-cause analysis for projects not meeting targets.
- Formally close projects after business acceptance, action-item closure, documentation archiving, and value realization review.
- Maintain the Policy Master Register.
- Receive and verify requests for policy creation, revision, or retirement.
- Coordinate policy review and approval processes.
- Manage version registration, publication, archiving, and retirement of policies.
- Track policies due for review and outstanding items.
- Provide PMO tracking for annual organizational-change projects.
- Provide PMO governance support for key system projects (ERP, WMS, BI, CRM, etc.).
- Provide PMO tracking support for legal and compliance remediation projects.
- Provide PMO governance support for store-operations reform projects.
- Provide PMO governance support for new-business pilots.
- Assist in establishing and improving standard templates for project management.
- Standardize project status, milestones, completion rates, risk levels, and closure criteria.
- Archive project documentation.
- Analyze project data to identify common causes of issues and recommend PMO improvements.
- Recommend PMO staffing, tools, and system configuration.
Requirements
- Bachelor’s degree or above; Project Management, Business Administration, Information Systems, Operations Management, Finance, or a related field preferred.
- 2–4 years of experience in project management, PMO, enterprise transformation, process management, or cross-functional project coordination.
- End-to-end experience with organizational change, system implementation, process optimization, or new-business projects from initiation through acceptance and closure.
- Chain retail or multi-site enterprise experience preferred.
- Practical participation in projects from initiation and planning through tracking, acceptance, or review is preferred.
- Proficient in Asana, Monday, Smartsheet, Jira, Microsoft Project, Excel, PowerPoint, or similar project-management tools.
- Strong written and verbal communication skills in both English and Chinese.
