About the Role

The Knowledge Management and Practice Assistant supports the Professional Support Counsel (PSC) and Senior Practice Manager (SPM) across various practice management tasks, including knowledge management, arbitrator selection, training, profile-raising, and resourcing.

Responsibilities

  • Manage the precedent repository, including collection, incentive framework, and outreach.
  • Conduct paralegal sweeps of concluded matters and add precedents to the database with proper tagging.
  • Manage firmwide and partner institutional memberships, including renewals.
  • Monitor legal, procedural, and market developments relevant to arbitration intelligence.
  • Provide junior-level support in preparing presentations, speeches, articles, and client-facing materials.
  • Oversee matter status, record new matter credentials, and maintain the firm matter database.
  • Assist with associate and counsel resourcing, including capacity surveys and work allocation.
  • Support capacity queries, check-ins, and collation of joiners' experience and profile backgrounds.
  • Assist with intern resourcing, including capacity surveys and work allocation.
  • Support non-respondent check-ins and intern experience updates.
  • Maintain arbitrator and expert databases, manage the appointment update incentive, and support arbitrator intelligence gathering.
  • Track appointment statistics and report annually on compliance with the Arbitrator Shortlist Policy.
  • Support the PSC with scheduling and logistics for 'Meet the Arbitrator' sessions.
  • Provide logistical and scheduling support for various training programs and meetings.
  • Maintain and update training materials on the firm’s intranet.
  • Support the maintenance of the intranet AI knowledge hub and prompt library.
  • Provide junior-level support in managing the firm’s subscriptions estate and third-party vendor relationships.
  • Support joiner and leaver access, access streamlining projects, and user-limit tracking.
  • Provide junior-level support in running firmwide surveys.
  • Support firmwide projects, retreats, office launches, and other ad hoc projects.

Requirements

  • Prior experience in a law firm or professional-services practice-support role.
  • Strong organization and attention to detail.
  • Ability to manage competing deadlines and priorities across offices.
  • Discretion and sound judgment in handling confidential and privileged material.
  • Ability to build strong relationships and work collaboratively across offices and teams.
  • Confidence using Microsoft Office, iManage, and legal research databases (Westlaw UK and Lexis+).
  • Clear written and verbal communication skills.
  • An interest in knowledge management, legal technology, or AI tools.
