About the Role

The Junior Project Manager for Marketing & Communications ensures the smooth, efficient, and timely execution of marketing and communications projects. This role coordinates workflows across various channels, acts as an operational partner, and identifies opportunities for increased efficiency. The position also provides administrative support to the Executive Director and department.

Responsibilities

  • Manage end-to-end project scope, timelines, workflows, and deliverables for marketing initiatives.
  • Serve as the central point of coordination among project teams, internal clients, stakeholders, designers, writers, and external vendors.
  • Identify bottlenecks and operational challenges, evaluate potential solutions, and recommend improvements.
  • Track deadlines, deliverables, approvals, and competing priorities to keep projects on schedule.
  • Develop, implement, and maintain project documentation, production schedules, workflows, and related processes.
  • Maintain dashboards and status reports and provide leadership with updates.
  • Evaluate departmental project management needs and develop/implement appropriate systems and workflows.
  • Provide administrative and operational support to the Executive Director, including managing calendars and scheduling meetings.
  • Oversee internal communication between the Executive Director, department staff, faculty partners, and administrative leadership.
  • Assist with budget tracking and departmental purchasing and manage vendor contracts and invoices.
  • Prepare meeting materials, agendas, presentations, and follow-up documentation.
  • Assist in managing brand consistency across digital and print assets.
  • Perform general administrative duties, including travel planning, correspondence, filing, and record maintenance.

Requirements

  • Bachelor's degree or equivalent experience required.
  • 3+ years of experience in project management, administrative support, marketing operations, or a related field.
  • Experience with project management tools and workflow systems such as BaseCamp or a similar platform required.
  • Experience in higher education, nonprofit organizations, or marketing/communications teams.
  • Experience using Adobe Creative Cloud or similar systems (even at a basic level) preferred.
  • Exceptional organizational skills and the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and exhibit sound judgment.
  • Strong interpersonal skills with the ability to work collaboratively with diverse teams.
  • Familiarity with creative production processes (design, copywriting, digital asset development).
  • Proactive problem-solver who anticipates needs and removes roadblocks.
  • Ability to evaluate processes, identify opportunities for improvement, and make recommendations.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Knowledge of CRM, CMS, or email marketing tools is a plus.
  • Detail-driven with a strong sense of ownership and accountability.
  • Highly adaptable, able to pivot quickly as priorities shift.
  • Professional and polished, comfortable interacting with senior leadership.
  • Team-oriented, promoting collaboration and clarity within the department.
  • CAPM certification preferred, with demonstrated interest in pursuing PMP certification.
