About the Role

As a Housekeeping Office Coordinator at Waldorf Astoria London - Admiralty Arch, you’ll support the Housekeeping department’s daily operations and deliver memorable guest experiences. This role is part of the pre-opening team for a new luxury hotel.

Responsibilities

  • Support the Housekeeping team to ensure all Forbes service standards and departmental objectives are consistently achieved and upheld.
  • Carry out daily administrative activities for the Housekeeping department while adhering to Hilton standards, policies, and procedures.
  • Maintain accurate housekeeping records, schedules, reports, and service systems to support operational excellence and exceptional guest service.
  • Coordinate room status updates and liaise effectively with Front Office, Engineering, Laundry, and other departments to ensure seamless operations and guest satisfaction.
  • Manage and monitor housekeeping work orders, guest requests, lost property records, and departmental correspondence.
  • Ensure all communications, particularly relating to guests, team members, management, and the corporate office, are handled promptly, professionally, and confidentially.
  • Prepare departmental reports, meeting minutes, and other documentation accurately and within required timelines.
  • Manage office filing systems and maintain accurate departmental records in line with company procedures and compliance requirements.
  • Maintain adequate supplies of office stationery and housekeeping administrative materials.
  • Support roster administration, attendance records, training documentation, and team member onboarding processes as required.
  • Build and maintain positive internal and external working relationships to support departmental effectiveness.
  • Ensure all guest requests and housekeeping service issues are communicated and followed up in a timely manner.
  • Comply with all health, safety, security, and data protection requirements.
  • Report maintenance issues, damages, hazards, and defects promptly through the appropriate channels.
  • Maintain a clean, organised, and professional working environment within the housekeeping office.
  • Assist with special projects, audits, inventories, and other departmental initiatives as required.
  • Perform any other duties assigned by the Director of Housekeeping or Assistant Executive Houskeeper management team.

Requirements

  • Excellent verbal and written communication skills in English
  • Excellent administration and IT skills
  • Committed to delivering a high level of customer service, both internally and externally
  • Flexibility to respond to a range of different work situations
  • Ability to work under pressure
  • Proven experience in a similar role within a luxury or ultra‑luxury environment
  • Minimum of two years’ relevant experience
