About the Role
The Department of Design & Construction, Safety & Site Support (SSS) Division seeks a Division Administrative Officer (DAO). The DAO provides high-level administrative and operational support to Division leadership and staff, focusing on human resources, recruitment, workforce coordination, and administrative oversight.
Responsibilities
- Monitor recruitment activity and update Senior Leadership.
- Maintain hiring communications with hiring and interview teams.
- Schedule interviews and manage the personnel onboarding process.
- Prepare personnel action requests for Division head approval and submission to HR.
- Update and maintain vacancy and personnel action requests log.
- Coordinate hiring pools and recruitment initiatives and events.
- Liaise with Technology & Innovation, Operations and Facilities Management for staff placement and relocation.
- Oversee coordination of Division training and staff development needs.
- Provide high-level administrative support, including document preparation and review.
- Support Division operations by monitoring administrative processes.
- Identify issues and opportunities for process improvement.
- Ensure compliance with agency policies, procedures, and requirements.
Requirements
- Must be permanent in the Principal Administrative Associate title or reachable on the list for open-competitive exam #1128.
- Must include a copy of Notice of Results or indicate permanent status in the title.
- Must be currently authorized to work full-time in the United States (U.S.).
- Must present original documents proving citizenship or legal right to work in the U.S.
- DDC is unable to support or sponsor any visa application or extension.
- Must have proper work authorization when an employment offer is made.
- Educational credentials must be from a U.S. Department of Education-recognized accredited institution.
- Credentials from foreign institutions require independent equivalency verification.

Experience Level
- One year of administrative or supervisory experience as described in qualification 1.
Education Level
- Baccalaureate degree from an accredited college and two years of clerical/administrative experience (one year in an administrative capacity or supervising staff).
- Associate degree or 60 semester credits from an accredited college and three years of clerical/administrative experience (including one year of administrative supervisory experience).
- Four-year high school diploma or equivalent and four years of clerical/administrative experience (including one year of administrative supervisory experience).
- Education and/or experience equivalent to the above, but must include one year of administrative or supervisory experience.
- Up to 3 years of general clerical/administrative experience may be substituted by 30 semester credits from an accredited college per 6 months.
Salary/Compensations
- $90,000 to $100,000
