About the Role

This role focuses on managing a Customer Services team and transactional processes within the supply chain and distribution functions at Gilead's UK office in High Holborn, Central London. The position is key to ensuring accurate pricing, managing supply chain operations, and maintaining strong relationships with internal and external stakeholders.

Responsibilities

  • Ensuring maintenance of accurate pricing on Gilead systems with respect to national and local tenders or other pricing arrangements.
  • Management of the supply chain, including the order process and associated queries.
  • Ensuring timely and accurate reconciliations of pricing and revenue for homecare and outsource NHS distributors.
  • Managing Kite’s orders and returns in Oracle.
  • Liaising with finance and other internal stakeholders to ensure appropriate internal and external controls and audit criteria are met.
  • Creating and documenting procedures with colleagues.
  • Liaising with external customers (e.g., NHS) to resolve supply issues.
  • Liaising with suppliers to ensure supply continuity and adherence to agreed processes and contracts.
  • Acting as a point of contact for other internal stakeholders.
  • Collaborating closely with local Trade Relations, Customer Services, and Finance teams.
  • Completing routine inventory reporting and analysis, including NHS stock reporting and inventory performance monitoring.
  • Monitoring inventory levels across distribution channels and supporting stock balancing activities between 3PL and Dublin distribution centres.
  • Assisting with stock transfer order (STO) creation, tracking, and administration.
  • Reviewing sales, inventory, and distribution data to provide regular reports and insights.
  • Maintaining Trade Operations trackers, product catalogues, and master data.
  • Supporting Trade Operations activities through data analysis, reporting, and maintenance of operational dashboards and KPI reporting.
  • Performing out-of-hours duties as required.

Requirements

  • Experience in management of a Customer Services team.
  • Experience in management of transactional processes (e.g. Order To Cash).
  • Supply chain and distribution experience.
  • Understanding of the NHS in terms of ordering and supply mechanisms is preferred.
  • Ability to become an expert in financial and supply systems quickly.
  • Ability to work competently with Excel spreadsheets.
  • Ability to become an expert in financial and supply systems, e.g. SAP.
  • Numerically able and capable of pattern recognition in data.
  • Confident in discussions with customers, with the ability to push back if required.
  • Clear communicator, able to produce brief internal reports.
  • Possesses the judgment to know when to refer to senior colleagues and legal if appropriate.
