About the Role

The Senior Manager, eBilling Strategy & Performance co-owns the firm-side strategy, oversight, and performance of the eBilling function. This role is accountable for advancing the firm's eBilling inventory through timely, accurate submission and acceptance, and for addressing issues that delay invoicing, payment, or revenue realization. Reporting directly to the head of the firm's Revenue function, this position serves as the firm's senior eBilling subject-matter expert and primary operational contact for the outsourced eBilling provider.

Responsibilities

  • Own the firm-wide eBilling inventory and develop actionable plans to move invoices from preparation and submission through acceptance and progression toward payment.
  • Establish priorities based on invoice value, age, client requirements, collectability, deadlines, business risk, and ease of resolution.
  • Monitor submission, acceptance, rejection, appeal, and payment activity to identify issues affecting billing velocity and revenue realization.
  • Develop and maintain performance measures and reporting, including inventory aging, first-pass acceptance, rejection volume, turnaround time, backlog movement, vendor service levels, and revenue at risk.
  • Identify systemic issues, control gaps, and recurring failure points and translate findings into practical process, system, training, or policy improvements.
  • Provide senior Revenue leadership with clear, timely reporting on performance, material risks, emerging trends, and recommended actions.
  • Serve as the firm's primary operational contact for the outsourced eBilling provider, working closely with the Director of Revenue Operations as the firm's primary business contact.
  • Communicate firm priorities, expected outcomes, service requirements, and escalation needs through the provider's designated management contacts.
  • Establish an effective operating cadence with the provider, including regular inventory reviews, performance discussions, issue escalation, root-cause analysis, and follow-through on corrective actions.
  • Evaluate provider performance against contractual deliverables, service-level commitments, quality standards, turnaround expectations, and business results.
  • Partner with provider leadership to address backlogs, recurring errors, capacity constraints, workflow gaps, and other issues that affect service delivery.
  • Ensure that ownership, next steps, due dates, and escalation paths are clear for unresolved items and priority workstreams.
  • Personally investigate and help resolve complex, high-value, aged, or time-sensitive eBilling issues when senior-level intervention is required.
  • Coordinate resolution of invoice rejections and submission barriers involving client guidelines, timekeeper approvals, rates, budgets, task codes, matter setup and mapping, supporting documentation, or platform requirements.
  • Engage attorneys, client teams, and firm business professionals to obtain information, decisions, or actions needed to advance invoices and protect revenue.
  • Work with Billing, Collections and Appeals, Pricing, Finance, New Business Intake, Technology, and other teams to assign ownership and prevent issues from falling between functions.
  • Analyze rejection and reduction trends, identify root causes, and ensure that corrective actions are documented, implemented, and monitored.
  • Support appropriate handoffs and coordination among invoice submission, rejection resolution, appeals, collections, and payment follow-up.
  • Strengthen eBilling readiness by promoting timely client and matter onboarding, mapping, rate and timekeeper approval, budget setup, guideline review, and platform access.
  • Maintain current knowledge of client billing guidelines, insurer requirements, eBilling platforms, legal billing standards, and high-volume insurance billing protocols, including EPLI.
  • Support the accurate implementation and maintenance of client and payer requirements within applicable billing and eBilling systems.
  • Document and maintain workflows, escalation procedures, business requirements, ownership standards, and internal controls.
  • Lead or participate in eBilling system implementations, testing, automation, reporting enhancements, client onboarding, and process redesign initiatives.
  • Identify opportunities to use technology, analytics, automation, and artificial intelligence to reduce manual work, improve visibility, and accelerate issue resolution.

Requirements

  • Bachelor's degree in business, finance, accounting, or a related field preferred; equivalent relevant experience may be considered.
  • Seven or more years of progressively responsible billing, eBilling, revenue-cycle, or related experience within a law firm or professional-services environment.
  • Demonstrated expertise in electronic invoice submission, inventory management, rejection resolution, appeals coordination, client billing guidelines, and revenue-cycle processes.
  • Experience managing high-volume and complex eBilling portfolios; insurance and EPLI billing experience strongly preferred.
  • Experience partnering with third-party service providers or outsourced teams and holding providers accountable for service quality and business outcomes.
  • Strong working knowledge of major legal eBilling platforms and billing technologies; experience with Aderant and BillBlast preferred.
  • Demonstrated ability to analyze operational data, identify root causes, establish priorities, and translate findings into measurable action plans.
  • Ability to influence attorneys, senior leaders, business professionals, and external providers without relying on direct supervisory authority.
  • Excellent judgment, organization, communication, problem-solving, and stakeholder-management skills.
  • Advanced proficiency with Microsoft Excel and experience developing or using operational dashboards and reporting tools preferred.
