About the Role
The Event Service Specialist will consistently deliver exceptional service to our client through excellent event service delivery, representing the FIRST Solutions brand on-site within a well-known tech company. The primary focus is to be the main point of contact for successful event execution, collaborating with the FIRST team and internal service providers.
Responsibilities
- Serve as the primary contact on event days for event hosts, collaborating with event managers and service partners to ensure appropriate execution and service delivery.
- Manage catering, audio/video production, security, transportation, and room setup support.
- Work across various event spaces, traveling between different floors and buildings.
- Coordinate and execute event logistics.
- Review all event needs and re-confirm or clarify any areas of concern prior to the event.
- Support events onsite, potentially managing multiple events daily.
- Troubleshoot issues and escalate advanced needs to the appropriate internal partner.
- Communicate pertinent adds/changes to the event team and supporting service lines.
- Assist event managers in planning large-scale events.
- Support end-to-end planning for small-scale events.
- Provide administrative support for event managers by maintaining tracking tools, event planning documents, and internal planning systems.
- Compile reports related to on-site events, including post-event data.
- Support the Guest Services team with guest check-in, wayfinding, swag organization and distribution, and answering event detail questions.
Requirements
- Must be fluent in English.
- Knowledge of basic and fundamental standards of event management and event operations.
- Experience working cross-functionally with various levels of stakeholders in a fast-paced environment.
- Adaptability to situations and ever-changing demands.
- Highly organized with the ability to handle multiple tasks to meet strict deadlines.
- Excellent time management and multi-tasking skills.
- Ambitious and proactive with a calm and flexible approach to handling pressure.
- Experience working on large and complex databases is a plus.
