About the Role

The Bookings Department manages all rental events, from intake to administration, and maintains the organization’s venue calendars. As part of the Programming Group, this department facilitates internal bookings and serves as the primary contact for clients, guiding them from inquiry to confirmation. The Bookings Manager oversees daily operations, leads the Bookings & Sales team, manages the sales pipeline, internal bookings, and inventory. This role ensures efficient and accurate management of inquiries, contracts, scheduling, client communications, and event estimates across all venues, aiming to maximize event activity and revenue.

Responsibilities

  • Oversee the day-to-day operations of the Bookings Department, ensuring workflows, priorities, and service standards are consistently achieved.
  • Foster a collaborative, service-oriented, and professional team culture.
  • Provide direct supervision, coaching, and performance management for Bookings staff.
  • Support the Bookings Director in implementing departmental objectives, operational plans, and revenue-generating initiatives.
  • Monitor workload distribution and departmental resources to ensure timely and effective service delivery.
  • Support client retention and acquisition through consistent, high-quality service delivery and relationship management.
  • Manage and support the processing of inquiries, event estimates, contracts, deposits, and booking documentation, ensuring all are processed accurately and within prescribed timelines.
  • Coordinate venue tours and client meetings.
  • Develop and maintain strong professional working relationships with clients, promoters, presenters and industry partners.
  • Ensure complete and timely handoff of confirmed bookings to internal teams, including clear documentation of contractual commitments, client requirements, schedules, and relevant event information.
  • Provide operational support as required to address client or contractual issues.
  • Exercise sound judgment in resolving conflicts, challenges and client issues and escalating significant matters to the Director when appropriate.
  • Support the Director in tracking and reporting event activity, departmental performance, activity, and revenue objectives.
  • Ensure departmental compliance with organizational policies, department procedures, and contractual requirements.
  • Support risk management initiatives by identifying concerns and proactively implementing corrective actions.
  • Identify opportunities to improve workflows, documentation, communication, and service delivery, and implement improvements in partnership with the Director and internal partners.

Requirements

  • Five or more years of progressively responsible experience in venue bookings, events, hospitality, arts administration, client services, complex scheduling, or a related operational environment.
  • Education in front line hospitality, client services or arts administration; experience in the live music industry will be considered an asset.
  • Experience managing a team while staying actively involved and contributing to the day-to-day work.
  • Experience delivering superior client service and retention strategies.
  • In-depth experience with CRM, project management or scheduling software; proficiency with Momentus Enterprise or similar is a strong asset.
  • Strong proficiency in Microsoft Office, particularly Excel.
  • Demonstrated ability to prioritize competing demands, coordinate work across a team, and maintain accuracy in a high-volume environment.
  • Strategic and critical thinker with sound judgement in fast-moving environments.
  • Excellent verbal and written communication skills, with the ability to collaborate effectively and tactfully with clients, colleagues, and decision makers, in person and virtually.
  • A genuine passion for events, the performing arts, or live music.
  • Manual dexterity required to use desktop computer and peripherals.
  • Interacts regularly with senior management, employees, and clients by telephone, email and in-person meetings.
  • Comfort working across both office and venue environments, including conducting walkthroughs across large, multi-level facilities.
  • Some evening, weekend, and overtime work is required to support two public venues operating seven days a week.
  • Travel between venues will be required on an ongoing basis.
