About the Role

Serves as a confidential personal assistant to the Executive Vice President for Legal Affairs, performing high-level administrative work. This role supports complex administrative assignments, relieves the EVP of administrative detail, and involves independent judgment in handling legal and labor matters, departmental policies, and confidential information. The position may include supervision of lower-level staff.

Responsibilities

  • Reviews and proofreads legal opinions and other legal documents.
  • Types proposals for contract negotiations and drafts responses to improper practice charges and grievances.
  • Independently gathers documentation for grievances, arbitrations, contract administration, policy formulation, and litigation, and drafts initial responses.
  • Assists in maintaining the calendar of deadlines and due dates for all legal matters.
  • Reviews certificates of insurance for adequacy, discusses requirements with relevant parties to obtain proper coverage.
  • Maintains and logs contracts and agreements, and assists in drafting contracts.
  • Assists in drafting appeals, briefs, motions, pleadings, and other miscellaneous legal documents for various administrative agencies and courts.
  • Utilizes PACER, Westlaw, and the New York Court Case Management System for litigation-related information.
  • Maintains the electronic case management system in the Legal Affairs office.
  • Independently prepares routine legal correspondence, such as litigation hold memos.
  • Schedules appointments and makes travel arrangements.
  • Prepares and maintains complex and confidential files, including litigation matrices and updates for insurance carriers.
  • Prepares and maintains matrices on grievances, arbitration, PERBS, and other labor-related issues.
  • Processes requisitions for the Legal Affairs department and assists in budget compilation.
  • Handles correspondence independently or from brief notes.
  • Furnishes information in response to inquiries related to the Legal Affairs office.
  • Independently maintains Legal Affairs files and filing systems (electronic and hard copy).
  • Manages supplies for the Legal Affairs office, coordinates help desk tickets, and coordinates software upgrades.

Requirements

  • Official transcripts will be required for successful candidates within 30 days of hire.

  • Thorough knowledge of office skills, legal terminology, procedures, and equipment.
  • Thorough knowledge of the organization and functions of the college.
  • Ability to carry out complex oral and written directions.
  • Ability to develop and utilize technology to automate functions.
